Procurement Admin

Key Responsibilities:

1. Daily Operations & Supplier Coordination

• Assist with daily procurement tasks and coordinate with suppliers and internal departments on procurement-related matters.
• Asist in preparing price comparisons and evaluate supplier quotations to support buying decisions.

2. Documentation & Records

• Store and organize all purchasing files (PRs, POs, Contracts, SLAs, and Quotations) in paper and digital systems.
• Double-check delivery documents (DOs, GRNs) against POs and invoices to fix price or quantity errors before sending to Accounts.
• Keep the Approved Vendor List updated with their company current information.
• File any other documents related to Procurement department.

3. System & Data Updates

• Use the ERP system to manage purchase requisitions, purchase orders, and invoices, including keying in material codes, unit rates, and vendor details.
• Create, track, and close POs based on approved material requests by Project Site teams.
• Check open POs monthly to clear pending deliveries, missing invoices, and unverified DOs.
