Procurement and Logistics Manager

Job Purpose

EMW Computer Trading LLC is seeking an experienced Procurement & Logistics Manager to manage end-to-end procurement, supplier coordination, order fulfillment, international shipping, customs clearance, inventory movement, and project logistics.

The successful candidate will be responsible for ensuring that equipment and services are procured at competitive commercial terms and delivered to customers and project sites on time, within budget, and in accordance with project requirements.

The role requires strong experience in the UAE IT distribution and technology sector, particularly in managing enterprise networking, infrastructure, hardware, software subscriptions, support contracts, and project-based procurement.

Key Responsibilities

Procurement & Vendor Management

• Manage the complete procurement cycle from approved purchase request through supplier quotation, negotiation, purchase order, delivery, and invoice reconciliation.
• Obtain and evaluate quotations from manufacturers, distributors, and suppliers.
• Negotiate pricing, discounts, credit terms, freight costs, delivery schedules, and commercial conditions.
• Maintain strong relationships with technology vendors, distributors, freight forwarders, and logistics partners.
• Ensure procurement is aligned with approved project budgets and required gross-margin targets.
• Monitor manufacturer and distributor pricing, promotions, rebates, deal registrations, and special project pricing.
• Coordinate product availability and lead times with sales and project teams before customer commitments are made.
• Maintain an approved supplier database and periodically assess supplier performance.

Order & Project Management

• Review customer purchase orders against EMW quotations and approved commercial terms.
• Ensure purchase orders to suppliers accurately reflect quantities, part numbers, pricing, warranty, subscriptions, and delivery requirements.
• Track open orders from placement through final delivery.
• Provide regular order-status updates to sales, finance, project management, and customers where required.
• Identify potential supply-chain delays and proactively develop alternative sourcing or delivery solutions.
• Coordinate phased deliveries according to project implementation schedules.

Logistics & Shipping

• Manage local and international shipments, including air, sea, courier, and road freight.
• Coordinate with freight forwarders, distributors, customs agents, and transport companies.
• Review shipping documents including commercial invoices, packing lists, certificates of origin, airway bills, bills of lading, and delivery notes.
• Ensure accurate UAE customs documentation, HS-code classification, and import/export compliance.
• Monitor shipments from supplier dispatch through customs clearance and final delivery.
• Optimize freight and logistics costs while maintaining required delivery timelines.
• Manage urgent and time-critical project deliveries.

Inventory & Warehouse Coordination

• Maintain accurate records of goods received, goods in transit, stock allocated to projects, and delivered equipment.
• Coordinate receiving, inspection, storage, staging, and dispatch of equipment.
• Ensure serial numbers and asset information are recorded where required.
• Prevent unnecessary inventory accumulation and identify slow-moving or obsolete stock.
• Conduct periodic inventory reconciliation with Finance and warehouse personnel.

Commercial & Cost Control

• Compare supplier pricing and identify opportunities to improve project gross margin.
• Verify that procurement costs remain within approved project budgets.
• Track landed cost, including product cost, freight, customs, insurance, handling, and other logistics charges.
• Work closely with Finance to reconcile supplier invoices, purchase orders, and goods received.
• Monitor outstanding supplier payments where these may affect delivery or credit facilities.
• Support management in negotiating improved distributor credit limits and payment terms.

Coordination with Sales & Project Teams

• Work closely with Sales during quotation and tender preparation to confirm:
• Product availability
• Lead times
• Supplier pricing
• Freight estimates
• Warranty and support requirements
• Licensing and subscription terms
• Coordinate closely with Project Management and Engineering teams to ensure equipment arrives according to implementation schedules.
• Immediately escalate potential delivery, pricing, product-discontinuation, or supply-chain risks.

Technology Procurement

Experience purchasing products and services from major enterprise IT vendors and distributors is strongly preferred, including technologies relating to:

• HPE / HPE Aruba Networking
• HPE Juniper Networking / Mist
• Cisco
• Enterprise Wi-Fi and networking
• Servers, storage, computing, and accessories
• Cloud and software subscriptions
• Unified communications
• Security solutions
• Support and maintenance contracts
• Hospitality technology solutions

Qualifications & Experience

• Bachelor's degree in Supply Chain Management, Business Administration, Logistics, Commerce, or a related field.
• Minimum 5–8 years of procurement and logistics experience, preferably within the UAE IT/technology sector.
• Strong understanding of UAE import, customs, freight, and logistics procedures.
• Experience dealing with IT distributors, manufacturers, freight forwarders, and international suppliers.
• Demonstrated ability to negotiate commercial terms and supplier pricing.
• Strong knowledge of purchase-order, inventory, and order-management processes.
• Excellent Excel and reporting skills.
• Experience with ERP/accounting systems; Zoho Books/Zoho Inventory experience is a must
• Excellent written and spoken English.
• UAE driving licence preferred.

Pay: Up to AED10,000.00 per month
