PROCUREMENT & PRECONSTRUCTION COORDINATOR

Job Location: 201 West Main Street, Ayer, MA 01432

Brighter Horizons Environmental Corporation (BHE) is New England’s premier waste stream management company since 2005, providing comprehensive Site Remediation, Demolition, and Environmental Construction services. We self‑perform demolition, dewatering, excavation, soil management, transportation, disposal, and site restoration, with safety as our highest priority.

BHE is seeking a Procurement & Preconstruction Coordinator to support company-wide bidding, procurement, estimating, and preconstruction operations. This position plays a key role in ensuring projects are properly organized, competitively procured, and prepared for successful execution.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while supporting the successful transition of projects from pursuit through mobilization.

JOB DESCRIPTION

The Procurement & Preconstruction Coordinator supports BHE's early-stage project lifecycle by coordinating bidding activities, vendor and subcontractor procurement, preconstruction documentation, and project startup requirements. Working closely with estimating, project management, and operations teams, this position helps ensure projects are organized, compliant, and ready for execution.

ESSENTIAL DUTIES & RESPONSIBILITIES

  • Coordinate the preparation and assembly of bid packages for public and private sector projects.
  • Review plans, specifications, and contract documents to assist in developing scopes of work.
  • Assist with quantity takeoffs, cost tracking, and estimate preparation.
  • Solicit and organize subcontractor and supplier quotations.
  • Maintain bid logs, procurement trackers, and proposal schedules.
  • Coordinate project startup documentation following contract award.
  • Track subcontractor agreements, purchase orders, insurance certificates, and vendor documentation.
  • Prepare project kickoff packages and maintain digital project files.
  • Coordinate internal project handoff meetings between estimating and operations teams.
  • Assist with development of preliminary schedules, work plans, and procurement plans.
  • Track RFIs, submittals, drawings, addenda, and revisions.
  • Ensure project teams have current plans, specifications, and contract documents.
  • Support procurement planning and material lead-time tracking.

Listed essential duties and responsibilities should be considered strictly as an overview; responsibilities and expectations may change based on business needs and/or providing you with new opportunities with BHE.

QUALIFICATIONS & REQUIREMENTS

  • High School Diploma or GED equivalent (required).
  • Bachelor's degree (preferred) or equivalent experience.
  • Must be 18 years of age.
  • 3-5 years of experience in procurement, preconstruction, construction administration, project coordination, or related construction support roles.
  • Strong understanding of bidding processes, contract documents, and construction terminology.
  • Excellent organizational, communication, and negotiation skills.
  • Proficiency in Microsoft Office and construction management software.
  • Ability to manage multiple deadlines in a fast‑paced environment.
  • Ability to pass Pre-Employment Physical, Drug Screen and Alcohol testing.
  • Ability to pass Pre-Employment Background Screening (CORI).
  • Salary (Exempt): Competitive compensation commensurate with experience; paid weekly.
  • Paid Time Off (PTO): PTO accrued throughout the year.
  • Paid Holidays: Company observed holidays provided annually.
  • Health Insurance: Eligibility for enrollment in the company’s health insurance plan.
  • 401(k) Retirement Plan: Employer match available.
