Procurement Assistant

• Prepare and process purchase requisitions, purchase orders, and other relevant procurement documentation.
• Maintain organized filing systems for purchase orders, invoices, supplier contracts, and other procurement records.
• Assist with the Request for Proposal (RFP) or Request for Quotation (RFQ) processes.
• Schedule meetings and appointments for the procurement team.

Data Management and Reporting

• Update and maintain supplier information, pricing, and lead time data in procurement systems or spreadsheets.

• Track order statuses and expedite deliveries as needed.

• Assist in generating purchasing reports on spend analysis, supplier performance, and other relevant metrics.

Supplier Communication

• Assist with obtaining quotes and product information from suppliers.
• Track and communicate updates on order progress, delivery schedules, and potential delays.
• Handle routine supplier inquiries and escalate complex issues to the Purchasing Supervisor or Manager.

Team Collaboration

• Assist with research to identify new suppliers or alternative materials.
• Coordinate with warehouse and logistics teams to ensure timely receipt and proper storage of incoming materials.
• Collaborate with the accounts payable team to resolve invoice discrepancies or payment issues. Handle customer inquiries regarding order status and delivery updates.
• Monitor warehouses and millers to fast-track loading and dispatching of trucks.
• Assist in the monitoring of GPS.
• Assist in providing customer's delivery requirements.
• Servicing other companies.
