About iHandal Energy Solutions
iHandal Energy Solutions is a Malaysian sustainable engineering company focused on helping commercial and industrial clients improve energy efficiency, reduce operating costs, and lower carbon emissions.
Founded in 2009, iHandal provides turnkey sustainable engineering solutions — with customised Mechanical & Electrical systems across water heating, process cooling, air conditioning, and waste heat recovery applications. The company is known for its proprietary HeatFuse™ technology, which captures and repurposes wasted heat, helping clients improve energy performance and operational savings.
Today, iHandal serves clients across sectors including hospitality, healthcare, residential, and industrial manufacturing, with solutions deployed across Malaysia and the wider Asia Pacific region.
About the Role
We are looking for a Procurement Executive to be the person who keeps iHandal’s project delivery chain moving — sourcing the right M&E components, managing supplier relationships, and ensuring that materials arrive on time and within budget.
A typical day might begin with checking outstanding purchase orders and delivery confirmations, following up on a delayed heat exchanger shipment, then spending part of the afternoon with a Project Engineer reviewing component specifications for an upcoming HeatFuse™ installation. In between, there are quotations to evaluate, cost trackers to update, and supplier conversations that occasionally need some commercial pressure applied. The throughline is anticipation — understanding what each project needs before it becomes urgent, so nothing catches the team by surprise.
This is a role for someone who is commercially grounded, genuinely organised, and comfortable working across engineering, operations, and finance teams without losing the thread.
Why iHandal
At iHandal, procurement has real ownership attached to it. From day one, you will have direct input into how we source — building supplier relationships, identifying cost-saving opportunities, and contributing to sourcing strategies that shape how we deliver projects. You will not be slotted into a rigid structure and handed a fixed vendor list — you will have the autonomy to develop the supplier base and make sourcing decisions without layers of bureaucracy slowing you down.
The variety of projects — commercial hospitality, industrial manufacturing, healthcare — means you build broad competency quickly, and you will develop faster here than you would in a single-sector role. You will also be part of a team that genuinely cares about the quality of its work and the relationships it builds, with suppliers, project partners, and clients alike.
iHandal is also a company with a mission that means something. Every installation we deliver contributes to a measurable reduction in energy waste and carbon emissions — and the components you source sit at the foundation of that impact.
Why This Role Matters
A HeatFuse™ installation has a fixed commissioning date and a client depending on that system being live on schedule. The components that make it work — compressors, heat exchangers, refrigerant assemblies, electrical controls — have to be sourced, ordered, and on site before that date, at a cost that keeps the project within budget. A delay does not just affect a timeline — it affects a client’s operations, their energy costs, and their trust in iHandal.
The Procurement Executive is the person who holds that supply chain together — from the first vendor call to the final delivery confirmation on site. Without this role done well, even the best engineering work can stall in execution.
What You Will Be Responsible For
1. Sourcing and Vendor Management
You will identify, evaluate, and manage suppliers for the M&E components that our projects require — including heat pumps, compressors, heat exchangers, piping materials, and electrical components. You will build and maintain a qualified vendor base, conduct supplier assessments, and ensure that the vendors we work with can consistently meet our quality, delivery, and cost requirements.
2. Purchase Order Management and Delivery Coordination
You will process and manage purchase orders from issuance through to delivery confirmation — tracking order status, following up on lead times, coordinating with suppliers on delivery schedules, and ensuring materials arrive at site when the project team needs them. You will flag delays early and work proactively to manage the impact before it becomes a problem for the broader delivery.
3. Cost Management and Budget Support
You will obtain and evaluate quotations, negotiate pricing with suppliers, and track procurement spending against approved project budgets. You will identify opportunities to reduce costs without compromising quality, and provide timely input to the project and finance teams on variances or scope changes that affect the procurement plan. When variances arise, you will come with a proposed resolution — not just an update.
4. Cross-Functional Collaboration
You will work closely with Project Engineers, the R&D team, and Account Management to understand project specifications, align on procurement timelines, and communicate material availability. You will also work with the Account Management team to share procurement progress, flag potential risks, and surface new business opportunities where relevant. When something could affect the delivery, you surface it early — not after the fact.
5. Documentation and Compliance
You will maintain accurate and complete procurement records — purchase orders, delivery orders, supplier correspondence, and cost documentation — and ensure that all procurement activity is conducted in line with company policies and client requirements.
What You Will Need to Have
1. Knowledge
A working understanding of procurement processes — sourcing, tendering, vendor evaluation, and purchase order management.
Working knowledge of procurement or ERP software and supply chain management principles.
Familiarity with M&E, HVAC, or industrial engineering components is an advantage.
2. Skills
Strong organisational skills — you can manage multiple open orders and supplier relationships simultaneously without losing track.
Clear, confident communication in English and Bahasa Malaysia — written and verbal.
Confident commercial negotiation with suppliers.
Accurate, well-presented documentation — POs, delivery records, and cost summaries.
3. Ability
Able to work across project, engineering, and finance teams without losing the thread.
Able to stay calm and solution-focused when lead times shift or deliveries do not go to plan.
Able to anticipate what a project needs before it becomes urgent, and act without being prompted.
Valid driving licence and willingness to travel to supplier sites and project locations across Malaysia.
4. Qualifications
A Diploma or Bachelor’s degree in Supply Chain Management, Business Administration, Engineering, or a related discipline.
2–4 years of experience in procurement, purchasing, or supply chain in a technical or engineering environment.
CIPS certification (or equivalent) is optional but highly valued.
How Success Will Be Measured
In this role, you will be performing well when:
Materials are sourced, ordered, and delivered on schedule to support project timelines.
Purchase orders are accurate, complete, and processed without errors.
Cost variances are flagged early — before they become problems.
The vendor base is actively maintained, with supplier performance tracked and reviewed.
Procurement records and documentation are complete, current, and audit-ready.
The Account Management team is looped in on procurement developments and potential opportunities.
Who This Role Is For
This role is for someone who takes genuine satisfaction in making things arrive — not just tracking orders on a spreadsheet, but understanding why each component matters, building the supplier relationships that give a project room to breathe, and knowing enough about the technical side to ask the right questions when specifications change.
You understand that good procurement is as much about relationships and foresight as it is about price. You care about the downstream consequences of your decisions — when a part arrives late or a cost overrun surfaces too slowly, you feel it, because you know what it means for the team on site.
If you are someone who takes ownership naturally, stays two steps ahead, and is ready to grow into an Assistant Procurement Manager role as iHandal scales — we would like to hear from you.
