Job Summary:

Vortexen Dynamics is looking for a Procurement Executive to manage sourcing and procurement activities for UAE and Saudi Arabia projects.

The role involves supplier sourcing, RFQ management, quotation comparison, commercial negotiation, purchase order follow-up, supplier development, and coordination to ensure materials are procured cost-effectively and delivered on time.

Key Responsibilities

• Source civil, mechanical, fire protection, and industrial materials from reliable suppliers.
• Identify and develop new suppliers and maintain an approved supplier database.
• Obtain a minimum of 3 competitive quotations wherever practical, especially for critical purchases.
• Prepare commercial comparison sheets and evaluate supplier quotations based on price, quality, delivery, payment terms, and warranty.
• Negotiate price, payment terms, delivery schedules, warranty, and other commercial conditions with suppliers.
• Track the complete procurement cycle from RFQ/enquiry to purchase order and final delivery.
• Follow up with suppliers to ensure on-time delivery and resolve procurement-related issues.
• Support OEM sourcing and international procurement activities.
• Identify alternative suppliers and cost-effective sourcing options.
• Coordinate with internal teams to understand project material requirements, specifications, quantities, and delivery timelines.
• Maintain accurate RFQ, quotation, comparison, PO, and delivery records.
• Use AI tools and digital tools for supplier research, quotation comparison, market research, and documentation.
• Monitor supplier performance, including response time, pricing, quality, and on-time delivery.

Key Performance Indicators (KPIs)

• RFQ turnaround: Same day / within 24 hours for standard requirements.
• Minimum 3 comparable quotations for critical purchases wherever practical.
• Documented cost savings against initial/budget prices.
• 100% accuracy in PO and procurement/delivery tracking.
• Regular tracking of supplier response time and on-time delivery performance.
• Timely completion of procurement activities based on project requirements.

Qualifications & Requirements

• Diploma or Degree in Civil Engineering, Mechanical Engineering, Procurement, Supply Chain Management, or a related discipline.
• Experience in procurement, purchasing, sourcing, or material procurement is preferred.
• Knowledge of civil, mechanical, fire protection, industrial, or engineering materials will be an advantage.
• Strong skills in supplier sourcing, quotation comparison, negotiation, and purchase follow-up.
• Good knowledge of MS Excel and digital documentation tools.
• Ability to research suppliers and identify alternative sourcing options.
• Strong communication, negotiation, coordination, and follow-up skills.
• Ability to manage multiple procurement requirements and meet deadlines.
• Familiarity with AI tools and digital procurement platforms is an advantage.
