Procurement Executive

Key responsibilities:

• Manage the procurement process for construction materials, equipment, tools, and engineering-related products, including develop Procurement policy/SOP.
• Ensure all procurement activities comply with company policies, project requirements, and established procedures, while maintaining accurate audit documentation in accordance with ISO 9001:2015 and ISO 37001 Anti-Bribery Management System (ABMS) standards.
• Source and evaluate suitable suppliers, vendors, and subcontractors, including handle new supplier and vendor registration, maintain and update the list of supplier and vendor.
• Obtain quotations, prepare quotation comparisons, and negotiate pricing, payment terms, delivery schedules, and other commercial terms, including prepare procurement report.
• Liaise with Finance for the issuance of Purchase Orders (PO), Project Team for Work Orders issuance, and relevant procurement documentation.
• Coordinate with Finance Team, Project Team, Legal Team, Stakeholders and other departments to ensure materials are procured according to project requirements.
• Monitor material delivery schedules and follow up with suppliers to ensure timely delivery to project sites.
• Verify materials and equipment against approved specifications, quotations, purchase orders, and project requirements.
• Maintain good relationships with suppliers and subcontractors and develop new sources where necessary.
• Monitor procurement costs and assist in achieving cost savings without compromising quality and project requirements.
• Handle supplier/subcontractor performance issues, delivery delays, defective materials, and other procurement-related matters.
• Maintain proper procurement records, including quotations, comparison sheets, purchase orders, delivery orders, invoices, and supplier documentation.
• Assist in the submission of project LOA declarations through the CIDB (CIMS) portal and the processing of related stamp duty through the MyTax portal.
• Carry out other related procurement and administrative duties as assigned by management.

About you:

• Diploma or Bachelor's Degree in Engineering, Procurement, Supply Chain Management, Construction Management, Business Administration, or a related field
• Preferably 2–4 years of experience in procurement/purchasing, preferably within the construction, M&E, engineering, or contracting industry
• Experience in supplier sourcing, quotation comparison, and price negotiation.
• Good understanding of construction materials, engineering products, equipment, and subcontracting services
• Strong negotiation, communication, coordination, and vendor management skills
• Able to read and understand basic construction drawings, specifications, and BOQs
• Proficient in Microsoft Office, Project Management Software and Tools, AutoCAD
• Able to work independently and manage multiple procurement requirements and deadlines
• Must willing to coordinate with project sites, suppliers, and subcontractors when required
• Teamwork, Self-initiative and proactive in handling any issues arise with good problem-solving skill
• A fast learner with strong analytical skill and willingness to accept new challenges.
• Must have a passion characteristics, dedication and commitment to daily duties.
• Willing to perform overtime work as required by project demands.
