Procurement Officer

About the role

The Procurement Officer is responsible for managing the organization's procurement activities, including sourcing suppliers, obtaining quotations, evaluating bids, negotiating prices, preparing purchase orders, and ensuring the timely delivery of goods and services. The position ensures that all purchases are cost-effective, transparent, properly documented, and compliant with the organization's procurement policies.

Key responsibilities

• Coordinate with different departments regarding their purchasing requirements and prepare and maintain procurement plans based on operational and event requirements.
• Identify and evaluate qualified suppliers and service providers, request and compare quotations from different suppliers, and maintain an updated supplier/vendor database.
• Process purchase requests and prepare purchase orders, negotiate prices, payment terms, delivery schedules, and other commercial conditions.
• Review supplier quotations and proposals and prepare comparative statements for management approval.
• Monitor the delivery of purchased goods and services and coordinate with the requesting department and warehouse/staff regarding receipt and inspection of items.
• Maintain complete procurement records, including purchase requests, quotations, canvass sheets, purchase orders, invoices, delivery receipts, and other supporting documents.
• Ensure all purchases comply with the organization's procurement policies and approval procedures and promote transparency, fairness, accountability, and ethical procurement practices.
• Coordinate procurement requirements for tournaments, training camps, competitions, meetings, and other federation activities.
• Source uniforms, sports equipment, event materials, office supplies, accommodation-related requirements, transportation services, and other operational needs.
• Monitor supplier performance and resolve purchasing-related issues.

About you

• Bachelor's degree in Business Administration, Supply Chain Management, Procurement, Logistics, Accounting, Finance, or a related field.
• Preferably 2–4 years of experience in procurement, purchasing, supply chain, or a related position.
• Experience in procurement for a sports organization, events, NGO, corporate office, or similar organization is an advantage.
• Knowledge of procurement procedures, supplier evaluation, and purchasing practices.
• Strong negotiation and communication skills.
• Good analytical and decision-making abilities.
• Proficient in Microsoft Office, particularly Excel and Word.
• Strong organizational and time-management skills.
• High attention to detail and accuracy.
• Ability to handle multiple procurement requests and deadlines.
