This individual should be proficient in procurement systems, comfortable analyzing operational data, and capable of identifying opportunities to improve processes, strengthen compliance, and enhance stakeholder experience.

Key Responsibilities

Contract Lifecycle Management

  • Manage the end-to-end contract lifecycle, including contract creation, review, approval, execution, renewal, amendment, and termination.
  • Partner with Legal, Procurement, Finance, Compliance, and business stakeholders to resolve contractual issues and align contract terms with business objectives.
  • Coordinate contract approval and signature workflows in accordance with established signing authority guidelines.
  • Maintain accurate contract records and supporting documentation within contract management systems and designated repositories.
  • Support internal and external audits by ensuring contract documentation is complete, accurate, compliant, and readily accessible.
  • Identify opportunities to improve contract management efficiency, reduce operational risks, and support cost-saving initiatives.

Procure-to-Pay (P2P) and Purchase Order Management

  • Manage P2P activities from initial request intake through requisition processing, purchase order creation, amendments, and closeout.
  • Review and process requisitions and purchase orders in accordance with procurement policies and procedures.
  • Initiate and process purchase order amendments and change orders to accommodate evolving business requirements.
  • Collaborate with suppliers, Procurement, internal stakeholders, and Accounts Payable to resolve invoice discrepancies and support timely invoice processing and payment.
  • Monitor outstanding procurement transactions and proactively follow up to ensure timely completion.
  • Maintain accurate purchasing records and supporting documentation to promote compliance and operational transparency.

Procurement Operations and Continuous Improvement

  • Support continuous improvement initiatives across procurement support functions and broader procurement operations.
  • Develop, maintain, and update standard operating procedures, process documentation, and workflow guidelines.
  • Identify opportunities to streamline processes, improve operational effectiveness, and enhance the stakeholder experience.
  • Support consistent service delivery by following established procedures and recommending practical process improvements.
  • Maintain accurate records and documentation to support procurement governance and audit readiness.

External Workforce and Fieldglass Management

  • Support external workforce management activities, including intake requests and Statement of Work (SOW) creation, review, approval, and maintenance.
  • Monitor approval workflows and proactively engage stakeholders to facilitate timely contract and SOW execution.
  • Coordinate contract renewals, amendments, and extensions to maintain continuity of services and workforce resources.
  • Utilize external workforce management systems, such as SAP Fieldglass, to track requests, monitor approvals, and maintain accurate records.

Reporting, Analytics, and Operational Support

  • Maintain contract and budget trackers to support data accuracy, transparency, and operational oversight.
  • Track and analyze key performance indicators, including process cycle times, service-level agreements (SLAs), and compliance metrics.
  • Use Microsoft Excel, PowerPoint, Tableau, or Power BI to prepare reports, analyze trends, and communicate actionable insights.
  • Manage procurement support intake requests and shared mailbox activities, ensuring timely responses within established service standards.
  • Prepare accurate operational reports and documentation to support decision-making and continuous improvement.
  • Handle confidential and sensitive business information with professionalism, discretion, and integrity.

Required Qualifications

  • Bachelor's degree in Business, Finance, Operations, Procurement, or a related field, or an equivalent combination of education and relevant work experience.
  • 3–5 years of relevant experience in procurement, contract management, finance, biotechnology, pharmaceuticals, or a related industry.
  • Hands-on experience with contract lifecycle management (CLM), including contract workflows, approvals, renewals, and amendments.
  • Experience managing Procure-to-Pay processes, purchase requisitions, and purchase order administration.
  • Experience with procurement systems such as Coupa and Oracle iProcurement.

  • Strong analytical, critical-thinking, and problem-solving skills.
  • Excellent organizational, time management, and prioritization abilities.
  • Ability to analyze complex data and translate findings into actionable recommendations.
  • Strong communication and stakeholder management skills.
  • High attention to detail and a commitment to compliance, data accuracy, and confidentiality.

Preferred Qualifications

  • Experience with external workforce management systems, particularly SAP Fieldglass.
