PROCUREMENT SPECIALIST

Key Responsibilities

Purchasing & Procurement

• Process purchase requests and purchase orders accurately.
• Purchase food, non-food, packaging, and operational supplies.
• Check pricing, quantities, and delivery schedules before placing orders.
• Track deliveries and ensure materials arrive on time.
• Resolve delivery issues, shortages, or order discrepancies.

Supplier Sourcing & Vendor Management

• Source and evaluate new local suppliers and vendors.
• Build and maintain strong relationships with suppliers.
• Compare prices, quality, and lead times before making purchases.
• Negotiate pricing, payment terms, and supply agreements.
• Monitor supplier performance and maintain an updated supplier database.

Inventory & Cost Management

• Monitor inventory levels and coordinate replenishment with different departments.
• Help prevent stock shortages and overstocking.
• Find cost-saving opportunities without affecting product quality.
• Compare supplier quotations and recommend the best value.
• Monitor market prices and suggest alternative suppliers or products when needed.

Documentation & Coordination

• Prepare and maintain purchase orders, invoices, contracts, and supplier records.
• Ensure purchasing documents are complete, accurate, and properly filed.
• Prepare purchasing, supplier, and cost reports for management.
• Coordinate with Production, Warehouse, Quality Assurance, Finance, and Logistics teams.
• Ensure purchasing activities follow company policies and food safety standards.

Qualifications

• College graduate in Business Administration, Supply Chain Management, Purchasing, Logistics, or a related field.
• At least 2 years of experience in procurement or purchasing, preferably in the Food & Beverage, Food Manufacturing, Commissary, Restaurant, or FMCG industry.
• Experience procuring both food and non-food items is required.
• Proven experience sourcing, negotiating, and managing local suppliers and vendors.
• Strong negotiation, communication, and relationship management skills.
• Good understanding of inventory management, purchasing, and supply chain processes.
• Organized, detail-oriented, and able to manage multiple priorities.
• Proficient in Microsoft Office, especially Excel.
• Willing to work FULL-TIME, ON-SITE in Quezon City.
• Willing to work on a possibly shifting schedule.
