The ideal candidate is highly organized, comfortable managing competing deadlines, and able to research unfamiliar technical or industry topics and turn information into clear, accurate, professional deliverables.

Key Responsibilities

  • Support procurement activities, including vendor and subcontractor research, sourcing, pricing analysis, and documentation.
  • Conduct market research to identify qualified vendors, subcontractors, suppliers, and potential business partners.
  • Research and compare pricing, services, qualifications, capabilities, and other factors to support procurement and business development decisions.
  • Assist with RFP, RFQ, proposal, and solicitation responses, including researching requirements and coordinating supporting materials.
  • Support the preparation, review, editing, and submission of procurement and proposal packages.
  • Maintain organized and accurate procurement, vendor, contract, and proposal records.
  • Assist with contract documentation, renewals, vendor information, and related administrative activities.
  • Research technical, engineering, utility, construction, and regulatory information as needed.
  • Prepare professional correspondence, reports, summaries, spreadsheets, and other procurement-related documentation.
  • Coordinate with internal teams and external vendors to collect information and meet submission deadlines.
  • Track procurement activities, deadlines, requests, and outstanding documentation.
  • Review documents for completeness, accuracy, consistency, and compliance with applicable requirements.
  • Use Microsoft 365 and other technology tools to improve document management, research, reporting, and workflow efficiency.
  • Use AI-enabled tools to support research, content development, data analysis, and administrative workflows while independently validating outputs for accuracy and completeness.
  • Support additional procurement, contract, proposal, and business development initiatives as needed.

Required Qualifications

  • 1–5 years of relevant professional experience supporting procurement, proposals, contracts, document management, or related business functions.
  • Experience within an engineering, architecture, construction, utility, or professional services environment preferred.
  • Experience conducting market research, pricing analysis, and vendor/subcontractor sourcing to support competitive procurement or business development activities.
  • Strong organizational skills with the ability to manage multiple deadlines, maintain document control, and ensure accuracy of procurement records and submissions.
  • Proficiency with Microsoft 365, including Word, Excel, Outlook, SharePoint, and Teams.
  • Strong written and verbal communication skills with the ability to prepare professional reports, correspondence, summaries, and procurement documentation.
  • Strong attention to detail and the ability to identify missing, inconsistent, or inaccurate information.
  • Ability to work independently while effectively coordinating with internal teams and external stakeholders.

Preferred Qualifications

  • Experience researching and summarizing technical, engineering, utility, construction, or regulatory information.
  • Familiarity with proposal development and RFP/RFQ responses.
  • Familiarity with public-sector procurement processes.
  • Experience using AI-enabled tools to support research, content development, workflow efficiency, and data analysis.
  • Ability to review, validate, and edit AI-generated content to ensure accuracy, completeness, and professional quality.
  • Knowledge of engineering consulting, utility program delivery, project management, or construction administration practices.
  • Experience working with SharePoint or other document management systems.
  • Experience supporting multiple projects or workstreams in a deadline-driven professional services environment.

What We're Looking For

The successful candidate will be:

  • Organized: Able to keep multiple procurement and proposal activities moving without losing track of details.
  • Curious: Comfortable researching unfamiliar companies, industries, technical topics, and requirements.
  • Analytical: Able to compare pricing, qualifications, and vendor information and summarize findings clearly.
  • Detail-oriented: Understands that accuracy and document quality matter in procurement and proposal submissions.
  • A strong communicator: Can translate research and information into clear, professional written materials.
