Vendors, Category Buying and Department Specifications for a US Uniform Retailer
Work From Home, Philippines · Night Shift: 8:00 AM – 5:00 PM US Pacific (11:00 PM – 8:00 AM PHT, March–November; 12:00 AM – 9:00 AM PHT, November–March) · PHP 50,000 – 85,000 per month · Full-time
About Us
We are a well-established, 55-year-old uniform retailer in San Jose, California. We outfit police, fire, paramedic, park ranger and public-safety agencies across the Bay Area with uniforms, footwear, gear, name tags, patches and tailoring. We buy from dozens of specialist vendors, and every department has its own written uniform specification, so buying the right item, at the right cost, on time, is critical. It is a fast-paced business.
The Role
You will own procurement from end to end. You manage every vendor relationship, chase promotions and discounts, negotiate prices, shipping and contracts, find alternatives, and set up new suppliers. You own the buying for each product category, and you keep every agency's uniform specification current, so what we buy always matches what our departments require, at the best cost we can get. You are a specialist, not an assistant. You will be trusted to decide, recommend, and be held to the result.
Job Responsibilities
Vendor Management
- Own every vendor relationship: pricing, terms, lead times, minimums, freight, returns and backorders.
- Set up new vendors: account opening, terms, price lists, catalogs and their entry in our systems.
- Hold vendors to their commitments on price, delivery and quality; escalate and resolve problems.
- Answer and make phone calls with vendors and their sales representatives.
Purchasing, Promotions & Negotiation
- Track vendor promotions, preseason programs and volume discounts, and recommend which to take and how much to buy.
- Negotiate prices, shipping terms and contracts; request price extensions before quotes and contract prices expire.
- Place, confirm and follow up purchase orders; chase confirmations, backorders and late shipments.
- Resolve invoice, price and quantity discrepancies with vendors.
Sourcing & Alternatives
- Find and qualify alternative products and suppliers when an item is discontinued, late or overpriced.
- Compare vendors on cost, quality and lead time, and recommend the best option with the numbers behind it.
Category Buying
- Own the buying for our product categories (shirts, pants, outerwear, footwear, duty gear, insignia and accessories): which vendor we buy from, at what cost, and in which sizes and depth.
- Buy each category to plan: balance cost, availability and lead time, and recommend which items to stock versus special order.
- Find compliant replacement items when a vendor discontinues or changes a product.
- Keep vendor price lists, costs, item numbers and contract prices current in our product catalog, and flag every gap.
Department Specifications
- Work directly with department points of contact (uniform coordinators and purchasing officers) by phone and email to confirm, clarify and update their uniform specifications and approved items.
- Maintain each department’s uniform specification: approved items, item numbers, colors, fabrics, patches, rank insignia and name-tag formats.
- Map every specification to the right vendor items, so the correct item, color and size range is always what gets bought.
- Track specification changes and vendor discontinuations; find compliant replacements before they cause a wrong or late order.
- Keep the specification library organized and current so the whole team can rely on it.
Order Management Support
- Support the order team on special orders, purchase orders and vendor status questions.
- Spot problems early (duplicates, wrong sizes, wrong colors, missing costs) and fix them at the root.
- Keep clear written records of every quote, decision and vendor agreement.
What You Bring
Required:
- 4+ years of experience in purchasing, procurement, sourcing or vendor management.
- Proven record of negotiating with suppliers and winning better prices, terms or shipping.
- Excellent, articulate spoken and written English; polished and confident on calls and in emails with US vendors and department points of contact.
- Strong Excel / Google Sheets skills (lookups, pivot tables, price comparisons).
- Experience with POS or purchasing system.
- Sound commercial judgment: able to decide on limited information and explain why.
- Disciplined record-keeping and follow-through without being chased.
- Able to work US Pacific hours permanently, in a fast-paced environment with shifting priorities.
- A private, quiet home workspace; wired internet of at least 25 Mbps; a backup internet connection and backup power; a noise-canceling headset.
Preferred:
- Experience with apparel, footwear, workwear, uniforms or technical fabrics.
- Experience buying for government, institutional or public-safety customers, or working to written product specifications.
- Experience maintaining product specifications or approved-item lists.
- Bachelor's degree in business, supply chain or a related field.
This Role Is Not a Fit If You
- Want a junior, task-only or data-entry role. You will be expected to decide and be held to the outcome.
- Are not comfortable negotiating with US vendors or speaking with department contacts by phone and email.
- Have only sourced on Amazon, arbitrage or drop-ship and never managed vendor terms or contracts.
- Cannot commit to permanent US Pacific hours.
What We Offer
- PHP 50,000 – 85,000 per month, set by experience.
- Permanent work from home.
- Paid vacation leave of 15 days and sick leave of 10 days upon regularization.
How to Apply
- Attach your resume, a screenshot of your internet speed test, and a photo of your workspace.
- Include a 2-minute voice recording introducing yourself and one supplier negotiation you won.
- Shortlisted candidates will be contacted for an interview.
Pay: Php50,000.00 - Php85,000.00 per month
