Description:
About the Company
Chan & Chan USA LLC is a growing food manufacturer producing high-quality frozen dumplings, buns, sausages, and other specialty products for our own brands and for leading retail and foodservice customers. Our team works in a modern, clean facility where safety, food safety, and quality come first.
Position Summary
The Production Clerk keeps the plant’s production records, product labels, and indirect supplies accurate and on time. The role runs production reporting, creates and controls product labels, manages indirect supply inventory and purchasing, and makes sure every line has the production and quality records it needs and that completed records come back for review. Success is measured by accurate, on-time reports, complete records ready for FSQA review, full label reconciliation, and no stockouts of indirect supplies.
Essential Functions
- Prepare daily and weekly production reports (output, labor hours, yield, scrap, and downtime) and enter production results into Sage X3.
- Create, print, and distribute production and quality records (batch sheets, monitoring logs, and checklists) to each line before production starts.
- Collect completed records, check them for completeness and legibility, and route them to the supervisors and FSQA for review.
- File and retain records under FSQA retention rules, and pull them for USDA, FDA, and customer audits.
- Create product labels in NiceLabel from FSQA-approved templates; verify product name, ingredients, allergens, net weight, codes and dates, and the USDA mark before printing, and send any new or changed label to FSQA for approval before use.
- Control label inventory: store labels securely by product, issue them to the lines, and reconcile printed, used, and destroyed labels for every run; investigate any differences with FSQA.
- Manage indirect supplies (items not on the bills of materials, such as PPE, gloves, and trash bags): track inventory, reorder, place purchase orders within approved limits, receive and stock deliveries, and issue supplies from the supply room.
- Support the production schedule: enter, print, and distribute daily schedules and changes.
- Provide administrative support: package and ship samples, and complete data entry, recurring reports, and other administrative projects in Sage X3 and Excel.
- Keep forms and records current with FSQA document control so only the latest versions are in use.
- Flag errors, missing records, and reporting trends to the Operations Manager.
Food Safety, Quality and Safety Responsibilities
The company operates under dual USDA (FSIS) and FDA jurisdiction.
- Follow Good Manufacturing Practices (GMPs), hygiene, allergen, and foreign-material controls; report food safety, quality, or safety concerns to a supervisor or FSQA immediately; and complete all required food safety and safety training.
- Use only current, FSQA-approved label versions; never print or release a label that does not match the product being run, and never use a new or changed label before FSQA approves it.
- Keep labels secured and separated by product to prevent mislabeling and undeclared allergens.
- Keep records accurate and complete; never pre-fill or alter entries, and report missing or late records right away.
Supervisory Responsibilities
None.
