What they need

Job Description: Production Coordinator

Company: Heidi Klein

Location: London, UK (North Marylebone Head Office / Hybrid)

Job Type: Full-time, Permanent

Reports To: Head of Buying & Merchandising

About Heidi Klein

Established in 2002 by Heidi Gosman and Penny Klein, Heidi Klein has evolved from a single Notting Hill boutique into the UK’s premier luxury swimwear and resortwear brand. Acclaimed for our impeccable fit, premium fabrics, and effortlessly chic, hand-designed prints, we provide women with an elegant, supportive, and confidence-boosting travel wardrobe. Our collections are stocked globally via luxury platforms such as Harrods and Selfridges, alongside our flagship London stores.

As we continue to expand our global wholesale and e-commerce platforms, we are looking for a meticulous and proactive Production Coordinator to join our product team.

Role Purpose

The Production Coordinator will plan the end-to-end scheduling and critical path management for our luxury swim and resortwear collections. You will work collaboratively with Design, Garment Technology, Finance, and our global manufacturing partners to ensure fabric, trim, and finished garments are delivered on time, within budget, and to our exacting luxury standards.

Key Responsibilities

  • Critical Path Management: Own, track, and update the seasonal production maps and manufacturing schedules across our swim and resortwear ranges.
  • Capacity Planning: Collaborate daily with global luxury manufacturers, fabric mills, and raw materials suppliers to negotiate lead times, secure factory capacity, and track raw materials.
  • Product & Production Knowledge: Develop and maintain a strong understanding of the product range, production status and key development updates to support cross-functional teams with accurate information, informed decision making, and timely resolution of production-related queries.
  • Product Development Coordination: Oversee the product development process, ensuring samples, fit sessions, approvals, and development comments are completed in line with the critical path, commercial priorities, and delivery targets.
  • MRP & Inventory Control: Coordinate materials requirement planning (MRP). Manage stock levels of raw materials to ensure zero production line downtime.
  • Quality & Cost Control: Monitor factory performance, track margin goals, and coordinate with the Garment Technologist to handle quality control timelines and delivery exceptions.
  • Data Integrity: Keep internal ERP/PLM software up to date with precise purchase orders, delivery dates, and SKU-level manufacturing details.

Skills and Qualifications

  • Experience: Minimum of 2–4 years of experience in production planning, demand planning, or production coordination within the fashion/apparel industry (luxury, swimwear, or lingerie experience is highly valued).
  • Analytical Mindset: Exceptional proficiency in Microsoft Excel and experience working with Product Lifecycle Management (PLM) or Enterprise Resource Planning (ERP) systems, ideally Zedonk.
  • Communication: Strong interpersonal skills to manage relationships firmly yet collaboratively with international supply networks.
  • Detail-Oriented: A strict eye for accuracy, structural timelines, and numbers—essential for preserving our standards of "impeccable fit".
  • Adaptability: Ability to stay organized and calm under the pressure of seasonal multi-collection drops.

What We Offer

  • Generous staff discount on all Heidi Klein products
  • 25 days holiday plus Bank Holidays
  • Hybrid working with 3 days in the office
  • Dynamic, entrepreneurial, and supportive office culture in Central London
