The Fig Trees is a growing NDIS and Support at Home registered provider committed to delivering high-quality, person-centred services that empower people to live independently and achieve their goals.
As we continue to grow, we are seeking a highly organised and proactive Program Assistant to support the day-to-day operations of our NDIS Program. This is an excellent opportunity for someone who enjoys working in a fast-paced environment, thrives on organisation and problem-solving, and wants to contribute to improving the lives of our clients.
About the Role
This is a hands-on program support role involving rostering, participant and worker administration, communication, record management and day-to-day operational support. The role works primarily under the direction of the Program Admin and provides additional support to the Care Coordinator and Program Manager.
The position may suit an experienced administrator looking to enter the disability sector, someone with disability/community-services experience and strong administrative skills, or an early-career candidate with relevant study and demonstrated capability.
As the NDIS Program Assistant, you will support the efficient day-to-day delivery of participant services by assisting with:
- Day-to-day rostering, shift changes, cancellations and replacement of vacant shifts.
- Communication with participants, families and Disability Support Workers regarding routine service and roster matters.
- Participant intake, onboarding, service documentation and system administration.
- Disability Support Worker recruitment, onboarding, availability and training administration.
- Maintenance of accurate participant, worker and service records.
- Monitoring and following up missing or expiring documentation.
- Routine enquiries, correspondence and assigned follow-up actions.
- Preparation of reports, meetings, audits and compliance documentation.
- Program projects, data collection and process-improvement activities.
- Administrative coverage during busy periods and staff absences.
- Participation in the after-hours on-call roster where required.
You will be expected to resolve routine administrative matters within your role while recognising when participant care, risk, funding, service or management matters need to be referred to the appropriate team member.
About You
We are looking for someone who is organised, responsive and able to work accurately in a busy service environment.
You will ideally demonstrate:
- Good administrative and organisational skills.
- Strong attention to detail and data accuracy.
- Good written and verbal communication skills.
- Professional and respectful customer service.
- Ability to manage multiple tasks and changing priorities.
- Practical problem-solving skills and the ability to follow established processes.
- Reliability in completing tasks and following matters through.
- Ability to work effectively with participants, families, Disability Support Workers and colleagues.
- Confidence using digital systems, email, spreadsheets and electronic records.
- Competence in Microsoft Office and ability to learn new systems.
- Ability to work within delegated authority and recognise when escalation is required.
- Professional boundaries, accountability and respect for privacy and confidentiality.
- Willingness to learn, receive feedback and continue developing within the role.
Essential Requirements
- Current Australian Driver's Licence.
- National Police Check (or willingness to obtain).
- NDIS Worker Screening Check (or willingness to obtain).
- Working with Children Check (or willingness to obtain).
- Full Australian working rights.
Desirable
- Experience in administration within the disability, community services or health sector.
- Experience using client management or rostering software.
- Certificate III or IV in Business Administration, Community Services, Healthcare or a related field.
