What they need

Company Overview
Vibrant Futures is a dynamic regional organization dedicated to fostering early childhood development, supporting child care businesses development, quality care and providing education and training within the child care sector across multiple counties in Michigan. We are passionate about empowering communities and building lasting positive impacts.

Job Overview
The Great Start to Quality Program Coordinator keeps the Resource Center's day-to-day operations running: training logistics and registration, professional learning schedules, competency and participation tracking, provider communication, documentation, and reporting support. The Coordinator is the operational backbone behind the deliverables in the Project Plan and works under the direction of the GSQ Director in close partnership with the Quality and Coaching Manager.

Duties

Program Coordination and Project Plan Support

  • Coordinate program activities, timelines, meetings, and implementation tasks so Project Plan deliverables are completed on schedule.
  • Identify and surface implementation barriers and communication gaps to the GSQ Director or Quality and Coaching Manager.
  • Work collaboratively with Director and Manager to prepare materials, agendas, and logistics for meetings, professional learning events, and communities of practice.

Provider Communication and Engagement

  • Serve as a responsive point of contact for routine provider questions about Resource Center services.
  • Support segmented, county-level outreach and communication so providers receive information relevant to their setting and need.
  • Support outreach and recruitment of licensed child care entities and early educators for coaching, quality improvement activities, and Practice-Based Coaching.
  • Help connect providers with Resource Center services, community supports, and complementary Vibrant Futures initiatives.

Data, Documentation, and Reporting Support

  • Maintain accurate records of provider engagement, coaching, referrals, training participation, and staff training.
  • Support timely and accurate entry of program activity into designated systems and identify missing or incomplete documentation.
  • Compile quarterly training participation data and other information required for narrative and data reporting to ECIC and the State.

Training and Professional Learning Logistics

  • Build and maintain the annual in-person training schedule, ensuring all required topics are covered, including homelessness under the McKinney-Vento Act and required health and safety trainings.
  • Coordinate training logistics: venues, scheduling, materials, registration, reminders, and participant support.
  • Support marketing opportunities across multiple communication channels and recruit participants to maximize attendance.
  • Track attendance, course completion, and competency metrics for coaches participating in required professional learning.

Referral and Partner Coordination

  • Coordinate referrals to Family Child Care Networks, Infant Toddler Learning Communities, workforce initiatives, CDA supports, apprenticeships, T.E.A.C.H. Early Childhood Michigan, MiRegistry, and other resources.
  • Maintain current knowledge of regional resources and referral pathways.
  • Support coordination with Regional Child Care Coalition and other partner activities, including documentation of partnership participation and outcomes.
