What they need

Overview

We are seeking a dynamic and dedicated Program Director to lead and oversee impactful community programs that promote health, wellness, and social engagement. This role offers an exciting opportunity to shape program strategies, foster community partnerships, and drive meaningful change within diverse populations. The ideal candidate will be passionate about community development, possess strong leadership skills, and have a proven track record of managing multifaceted initiatives that serve underserved communities. As a Program Director, you will be instrumental in creating a vibrant environment where community members can thrive through innovative programming and collaborative efforts.

Key Responsibilities

Program Leadership & Development

Develop and implement the annual programming plan with the Executive Director, including projections, budgets, schedules, and timelines. Oversee studio, school, and community programs, including Urban Bright; evaluate existing offerings and develop new opportunities based on feedback, partner needs, evaluation data, organizational priorities, and resources. Develop program offerings, catalogs, partner materials, and major annual initiatives and exhibitions, including the Urban Bright Exhibition.

Program Operations

Manage scheduling, enrollment, staffing, supplies, communications, payments, cancellations, rescheduling, and follow-up. Maintain accurate calendars, records, databases, and documentation; coordinate logistics among teaching artists, schools, community organizations, students, families, and other participants. Conduct site visits and teaching artist observations, and improve systems supporting program quality and information accuracy.

Staff & Teaching Artist Management

Supervise the Program and Marketing Assistant: set priorities, deadlines, workflows, and responsibilities; delegate administrative, communications, marketing, and data work; and provide training, feedback, and professional development support. Review program communications and public-facing materials, and assess staffing and operational needs with the Executive Director.

Recruit, onboard, coordinate, and support teaching artists, including background checks, training, documentation, contracts, scheduling, payment processes, lesson plans, and evaluations. Maintain teaching artist resources and the Teaching Artist Guide, communicate expectations, and coordinate professional development, including the annual Artist Meet-Up.

Partner & Community Relations

Build and maintain school, community, and organizational partnerships, serving as a primary contact for program planning and implementation. Coordinate partner meetings, site visits, schedules, enrollment expectations, budgets, deliverables, and reporting requirements. Identify new partnerships and opportunities to expand programming, and represent Art House at community events, conferences, school events, open houses, partner activities, and other outreach opportunities.

Facility Rentals & Studio Use

Oversee Art House facility rentals and studio-use opportunities, including responding to inquiries, coordinating scheduling, developing rental quotes and agreements, and communicating policies and expectations to renters. Coordinate logistics, staffing, equipment, and space preparation to ensure rentals are well-organized, financially sustainable, and aligned with Art House’s mission and facility needs. Maintain rental records, and identify opportunities to expand community access and generate additional organizational income.

Financial Administration & Evaluation

Develop quotes and pricing, prepare contracts and partner agreements, coordinate invoices and artist payments, and maintain accurate financial documentation with finance and bookkeeping staff. Monitor budgets, revenue, and expenses, and provide financial information for reports, proposals, grant applications, and organizational planning.

Maintain the Programming Book and other tracking systems for enrollment, attendance, student participation, revenue, expenses, supplies, and outcomes. Administer surveys, collect program and partner information, analyze evaluation data, and prepare reports. Use findings and participant feedback to improve programming.

Marketing & Communications

Work with the Program and Marketing Assistant to promote programs through social media, email, partner communications, and other channels. Ensure accurate schedules, pricing, enrollment information, and program details across promotional materials and digital platforms. Supply timely program information, stories, and images for communications, fundraising, and community engagement.

Qualifications

Required

  • Bachelor’s degree or equivalent professional experience in arts administration, education, nonprofit management, program management, or a related field.
  • Experience managing programs from planning through implementation, evaluation, and reporting, while coordinating multiple projects, schedules, partners, and stakeholders.

  • Strong organizational, written, verbal, interpersonal, and problem-solving skills.
  • Experience with budgets, program expenses, contracts, invoices, financial documentation, data collection, and evaluation.
  • Proficiency with Google Workspace and administrative, communication, and data-management tools.
  • Ability to work independently and collaboratively within a small nonprofit team.
  • Availability for occasional evening and weekend work and program-related travel throughout Greater Cleveland.

Preferred

  • Experience in arts, cultural, education, or community-based nonprofits, particularly arts education, teaching artist programs, or community-engaged arts initiatives.
  • Experience working with artists, educators, K–12 schools, youth-serving organizations, community organizations, and other external partners.
  • Experience managing independent contractors and teaching artists.
  • Experience with grant reporting, program evaluation, outcome measurement, or funder reporting requirements.
  • Familiarity with Cleveland-area arts, education, and community organizations.
