Program Manager

Job Summary

The Program Manager is responsible for the planning, organization, and rigorous oversight of project execution within Marks. This role serves as the operational backbone for the Account Servicing team, specifically supporting a major Global-China client account. You will play a vital role in collaborating with different stakeholders to plan and manage efficiently project workflows, scheduling, trafficking, resourcing and delivery. By bridging the gap between client service, creative teams and clients/partners, you ensure that every project is delivered on time, within budget, and to the highest quality standards.

Key Responsibilities

Project Workflow & Trafficking

• Workflow Management: Manage day-to-day operations of assigned projects, ensuring smooth execution and cascading tasks to the team.
• Operational Control: Own all project gates, risks, and commercial controls to ensure the best utilization and delivery.
• Creative Briefing: Manage creative/campaign briefs with Senior Account Manaager and Creative Director, ensuring they reflect client goals, objectives and provide clear direction for designers.
• Trafficking: Coordinate internal teams—including designers, strategists, and copywriters—to ensure seamless execution and resource alignment.

Scheduling & Delivery

• Planning: Develop project plans, schedules, and timelines in collaboration with internal teams and the client.
• Deadline Management: Track individual project progress and provide proactive advice to Account Managers regarding upcoming deadlines.
• Resource Allocation: Help allocate creative resources effectively and flag any capacity or timeline concerns to the Account Director.

Reporting & Financial Management

• Invoicing & Billing: Coordinate with finance and account teams to manage financial processes, including billing and reporting.
• Financial Tracking: Track project budgets and margins, ensuring all costs are aligned with approved scopes.
• Reporting: Track project performance in partnership with the PMO, ensuring accurate reporting and data integrity within tools like Workfront.

Account Team & Client Support

• Internal Liaison: Act as the central point of contact for internal teams, facilitating status updates and meetings.
• Client Contact: Serve as the client contact for delivery-related matters, providing regular updates and addressing concerns.
• Risk Mitigation: Identify potential challenges early and develop solutions to keep projects on track.

Requirements

• Experience: Minimum of 5 years of Project Management or Trafficking experience within an agency setup.
• Technical Knowledge: Deep familiarity with Creative Design nuances, workflows, and industry terminology.
• Communication: Excellent communication and interpersonal skillset; able to act as a trusted advisor to both internal teams and clients.
• Organizational Skills: Exceptionally organized and detail-oriented with a proven ability to manage multiple projects simultaneously.
• Workload Management: Able to withstand a high volume of project work and thrive in a fast-paced environment.
• Prioritization: Capable of prioritizing work effectively while removing roadblocks for the creative team.
