Program Manager, Cyber Fund Operations

Our leading AI Client is seeking a Program Manager, Cyber Funds - Recipient Operations to join their growing team!

You will work directly with applicants and recipients, manage applications through review and onboarding, coordinate award administration, and collect the evidence needed to understand program impact. Escalate issues to Program Executives. This is a hands-on role requiring sound judgment, clear communication, and the ability to move work forward independently.

Responsibilities

• Run the application pipeline. Maintain a complete applicant record, current status, next action, and owner. Manage the applicant inbox, answer routine questions, help organizations complete submissions, and follow up on missing information.
• Meet and vet applicants. Lead applicant calls to understand their organization, defensive use case, eligibility, implementation readiness, and expected impact. Document findings and prepare clear award recommendations against established criteria.
• Manage recipient onboarding. Help recipients identify or establish the correct business organization and account administrator. Coordinate required verification, account setup, and applicable access reviews with the responsible teams.
• Coordinate award administration. Prepare complete approval and credit-distribution requests, resolve missing information, track progress with Finance and Billing, and confirm that credits have reached the correct account. Maintain accurate award records and flag duplicate or overlapping support.
• Support recipient activation. Run check-ins and office hours, coordinate access to training and deployment resources, identify adoption blockers, and follow up with recipients whose usage has stalled.
• Collect impact and stories. Obtain impact submissions, usage context, measurable outcomes, and recipient testimonials. Develop concise case-study drafts and coordinate recipient consent and communications review.
• Own reporting. Produce a simple weekly scorecard covering applicants, grants, impact submissions, token usage and credit spend, and workstream status. Surface blockers and decisions with a recommended next step.
• Improve the process. Maintain reusable emails, FAQs, onboarding checklists, and operating procedures. Use approved tools and automation to reduce manual work and repeated questions.

Experience and capabilities

• 5+ years of relevant program management, customer operations, implementation, grant administration, or comparable experience.
• Demonstrated ownership of complex external-facing processes involving multiple internal teams.
• Confidence leading discovery and qualification conversations with senior technical and organizational leaders.
• Strong spreadsheet, tracking, reporting, and written communication skills.
• Ability to handle sensitive applicant information carefully and maintain reliable records.
• Familiarity with cybersecurity, enterprise technology, or public-interest organizations is helpful.
