Program Operations Manager (Volunteer)

AI4ALL is looking for a systems-minded and detail-oriented Program Operations Manager to help us keep all of our programs running smoothly behind the scenes. In this role, you will support program leads across our five pillars by building workflows, setting up automations, and handling the operational tasks that free teams up to focus on impact. This is a role for someone who enjoys creating structure, finds satisfaction in a well-organised process, and thrives when supporting multiple teams at once.

About AI4ALL

AI4ALL is a nonprofit do-tank founded in the Netherlands in 2024.

We bridge the knowledge gap between society and AI by providing continuous education, building confidence, and amplifying diverse leadership. Through masterclasses, mentorship, community events, and flagship programs, we help people not only understand AI, but actively shape how it evolves — ensuring the technology develops responsibly and represents everyone.

About the Role

As Program Operations Manager, you will be the operational backbone across AI4ALL's programs. You will set up centralized systems and processes, manage event logistics, and serve as the go-to person for operational needs across teams. Your work directly enables program leads to spend less time on admin and more time on the things that matter.

You Will:

• Set up and manage event registrations on platforms like Eventbrite and Meetup for upcoming programs and events
• Support program teams in building workflows, templates, and automations that streamline their day-to-day work
• Coordinate catering, supplies, and logistics for in-person program activities
• Maintain and update operational documentation: checklists, vendor directories, and process guides
• Collaborate with Program and Marketing Managers to ensure consistency across events and communications
• Track and improve operational processes to increase efficiency and volunteer experience
• Serve as the central point of contact for operational needs across all five programs

Who You Are

You're someone who is motivated, organised, and passionate about responsible, inclusive AI.

You likely have:

• Experience in operations, event coordination, or project management — nonprofit or community context is a plus
• A detail-oriented mindset and a talent for creating clarity from complexity
• Strong communication and problem-solving skills
• Comfort using or learning tools like Zapier, Make, Monday, Eventbrite, Notion, and Google Workspace
• A proactive, tech-savvy approach and the ability to support multiple teams without losing the thread
• A collaborative spirit and a genuine care for inclusion and social impact
• Location requirement: applicants must be based in the Netherlands and willing to attend in-person program events when needed.
