Project Accountant

Job Summary

GENERAL PURPOSE

The Project Accountant reports to the Chief Financial Officer and works closely with the Accounting Department to support accurate financial records and daily accounting operations. The position also serves as a key accounting resource to the Project Management team by monitoring project costs, commitments, billings, receivables, and compliance. The position also supports month-end close, job cost analysis, and other construction accounting activities.

RESPONSIBILITIES and DUTIES

• Prepare and process monthly pay applications, time-and-material (T&M) invoices, and other project billings in accordance with contract requirements.
• Review billing information for accuracy, including contract values, approved change orders, stored materials, retainage, prior billings, and current-period costs.
• Prepare and process retainage billings and retainage release payments.
• Track accounts receivable and assist with identifying and resolving outstanding invoices.
• Maintain project billing schedules and support timely submission of required billing documentation.
• Enter account adjustments in the appropriate accounting module, including general journal entries, accounts payable, accounts receivable, payroll, and job cost.
• Maintain and reconcile subsidiary accounts by verifying, posting, and reviewing transactions for accuracy.
• Assist with monitoring bank accounts and daily cash balances.
• Maintain and monitor subcontractor lien waiver submissions.
• Prepare, maintain, and track Indiana Form ST-105 for sales tax-exempt projects.
• Reconcile petty cash monthly and review employee receivables as needed.
• Follow established internal controls and assist with special projects as assigned.

CONSTRUCTION and JOB COST ACCOUNTING

• Review and process transactions to ensure accurate coding to the proper job, phase code, and cost type.
• Monitor committed costs, including purchase orders, subcontracts, change orders, and other commitments, and reconcile with subcontractor and supplier account statements.
• Prepare and analyze special job cost reports as needed.
• Maintain documentation by scanning and attaching invoices, payment applications, lien waivers, and other supporting documents to project transactions in Viewpoint Vista.
• Maintain accurate project, contract, job, phase code, and billing information.
• Serve as backup support for preparing weekly Union payroll and reviewing labor cost transactions.

QUALIFICATIONS

• An associate degree in accounting is preferred; significant coursework in accounting or extensive relevant accounting experience will also be considered.
• At least five years of work experience; construction accounting experience preferred.
• Strong computer skills, including experience with financial software and Microsoft Excel.
• Experience with Viewpoint Vista construction software is a plus.
• Strong attention to detail and a commitment to accuracy and thoroughness.
• Sound judgment and discretion when handling confidential information.
• Ability to meet established schedules and deadlines.
• Commitment to following company policies, procedures, and instructions.
• Ability to maintain positive working relationships with vendors, subcontractors, suppliers, and CCB employees.
• Enthusiasm for contributing to the CCB team.

Pay: $70,000.00 - $80,000.00 per year
