About SNB STONE

SNB STONE is an established Australian supplier of premium natural stone slabs and tiles, servicing residential and commercial construction projects. With showrooms and distribution facilities across Sydney, Brisbane and Melbourne, we work closely with architects, interior designers, builders, developers, stonemasons and construction contractors.

As our business continues to grow, we are seeking a motivated and experienced Program or Project Administrator to join our Sydney operations.

The successful candidate will play an important role in coordinating and administering multiple natural stone supply projects, ensuring that project specifications, procurement schedules, quality requirements and delivery milestones are achieved.

About the Role

Reporting directly to the Branch Manager, the Program or Project Administrator will be responsible for coordinating and administering approximately 5–10 projects concurrently, including commercial fit-outs, hospitality developments, construction projects and internal business improvement initiatives.

Approximately 60–70% of the role will involve project coordination and management support, with the remaining time dedicated to project-related administrative, reporting and documentation responsibilities.

Key Responsibilities

Project Coordination and Administration

  • Coordinate and administer commercial and residential natural stone supply projects from initial specifications through procurement, quality inspection and final delivery.
  • Prepare, maintain and monitor project schedules, action plans, milestones and delivery timelines.
  • Liaise with architects, designers, builders, developers, stonemasons and tiling contractors to confirm project requirements.
  • Coordinate the preparation and submission of stone samples, product specifications, finishes and material selections.
  • Monitor project progress and ensure compliance with agreed specifications, contractual requirements and construction schedules.
  • Identify project delays, specification changes and operational issues and coordinate appropriate solutions.

Procurement, Inventory and Quality Control

  • Liaise with domestic and international suppliers regarding project-specific material specifications, procurement requirements and delivery schedules.
  • Coordinate purchasing requirements, stock allocations and material availability for individual projects.
  • Monitor incoming stone shipments and coordinate quality inspections to ensure materials comply with approved specifications.
  • Maintain records of product defects, quality concerns, variations and corrective actions.
  • Coordinate appropriate packing, handling and storage arrangements to protect materials before delivery.

Logistics and Stakeholder Coordination

  • Coordinate with warehouse personnel, transport providers and construction contractors to ensure timely delivery of project materials.
  • Liaise with 1–2 warehouse staff regarding stock preparation, project-specific allocations and dispatch arrangements.
  • Organise staged deliveries in accordance with construction programs, site access requirements and contractor schedules.
  • Monitor outstanding orders, supplier commitments and delivery milestones.

Project Reporting and Business Improvement

  • Maintain accurate project records, procurement documentation, cost information, schedules and progress reports.
  • Assist management with project budgeting, expenditure tracking and operational reporting.
  • Coordinate administrative aspects of the company's upcoming Sydney showroom and warehouse expansion, including liaison with builders, architects and contractors.
  • Support showroom display improvement projects and the implementation of the VAVA Stone inventory management software.
  • Assist with improving project administration systems, inventory processes, supplier coordination and quality-control procedures.
  • Provide regular project progress updates to the Branch Manager.

Qualifications and Experience

The ideal candidate will demonstrate:

  • A relevant qualification in Project Management, Business Administration, Construction Management, Logistics or a related discipline, or equivalent relevant industry experience.
  • Previous experience in project administration, project coordination or construction-related supply operations.
  • Strong organisational skills and the ability to coordinate several projects simultaneously.
  • Experience liaising with contractors, suppliers, builders and other external stakeholders.
  • Knowledge of procurement, inventory management, logistics coordination and project documentation.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and familiarity with project management or inventory management software.
  • Excellent attention to detail, problem-solving skills and the ability to meet competing project deadlines.

Experience in the natural stone, building materials, construction supply or architectural products industry will be highly regarded.

What We Offer

  • Competitive annual salary of $80,000 plus superannuation.
  • Full-time employment based at our Sydney showroom and warehouse.
  • Opportunity to contribute to significant commercial and residential construction supply projects.
  • Exposure to project coordination, procurement, logistics and operational improvement initiatives.
  • A collaborative working environment with opportunities for professional growth.
