As our portfolio continues to grow, we are seeking a capable Project Controls Lead to strengthen the systems, processes and reporting that support successful project delivery across the business.

Opportunity:

Legeneering is seeking an experienced Project Controls Lead to improve the accuracy, consistency and timeliness of project information from opportunity and contract award through delivery, invoicing and close-out.

This is a hands-on leadership role suited to someone who can lead a small team, maintain strong ERP and reporting discipline, coordinate schedules and invoicing, and provide management with clear visibility of project status and emerging exceptions.

Reporting to the General Manager - Defence, Marine & Industrial Services, you will lead a small Project Controls team and support all Legeneering operational departments as a company-wide function.

Duties and Responsibilities May Include:

• Leading, coaching and supporting a small Project Controls team, including managing priorities, work allocation, performance expectations and timely completion of assigned actions.
• Maintaining accurate project, sales-order, job, scheduling and invoicing information within M1 ERP and associated systems.
• Coordinating opportunity, RFQ and quotation registers, including assigned personnel, due dates, approvals and outstanding information.
• Overseeing the accurate setup and linkage of client purchase orders, sales orders, sales-order lines, jobs, estimates, shipments and invoice records.
• Reconciling client purchase-order and change-order values against M1 sales-order values and coordinating the resolution of discrepancies.
• Developing and maintaining project and production schedules, work-centre loading and weekly or monthly look-ahead reporting.
• Monitoring milestones, production due dates, overdue operations, incomplete jobs and other schedule or data exceptions.
• Monitoring actual labour hours, material costs, subcontractor costs, equipment charges and current project margins against approved estimates and allowances.
• Coordinating monthly project reviews, accruals, work-in-progress reporting and financial cut-off information with Project Managers and Finance.
• Identifying invoiceable work and coordinating accurate, timely invoicing in accordance with purchase orders, approved rates, milestones and contractual requirements.
• Collating and verifying invoice substantiation, including timesheets, delivery dockets, equipment summaries, approved variations and other supporting records.
• Developing and maintaining Power BI dashboards, Excel controls and management reports covering opportunities, quotations, jobs, schedules, invoicing, costs and margins.
• Maintaining Project Controls procedures, work instructions, reporting cycles and minimum data requirements, while driving practical process improvements.

Position Requirements:

• At least five years' experience in project controls, project services, project coordination, planning, commercial project support or a related role.
• Demonstrated experience leading or supervising a small team and coordinating competing priorities.
• Experience using ERP systems for project setup, sales orders, job costing, scheduling or invoicing; practical M1 ERP experience is highly desirable, with Pronto or similar systems also relevant.
• Practical experience developing and maintaining project or production schedules and progress reports.
• Sound commercial understanding of purchase orders, sales orders, variations, invoicing, work in progress and project margins.
• Advanced Microsoft Excel and data-analysis capability.
• Experience developing or maintaining Power BI dashboards and management reports.
• The ability to manage multiple projects, deadlines and stakeholder requirements across different operational departments
• A relevant qualification in project management, finance or a related discipline would be advantageous.

We are not looking for someone who simply processes paperwork or reports historical information.

The right Project Controls Lead will:

• Understand current business and project priorities and align the team's daily work accordingly.
• Maintain accurate, current and properly linked project information within M1 and supporting systems.
• Identify overdue activities, missing data, cost exceptions and invoicing delays before they become larger problems.
• Keep completed work moving through the invoicing process with complete and accurate substantiation.
• Constructively challenge incomplete or inaccurate information and drive timely close-out of actions.
• Support Project Managers with reliable controls and reporting while preserving clear accountability for project delivery and commercial outcomes.
• Develop team capability, improve processes and create reporting that leads to clear action.
