About the role

Harvey Furnishings Ltd is a well-established New Zealand window furnishings business (curtains, blinds, shutters) with residential and commercial customers nationwide. We're looking for a Project Coordinator / Administrator to join our Commercial function, providing end-to-end project coordination and administration support with a primary focus on coordinating and managing incoming tenders.  This position acts as a key point of contact for Commercial tender processes and provides coordination and administration support across internal and external stakeholders.

Key responsibilities

  • Coordinate and manage all incoming commercial tenders, including logging, tracking, and monitoring internal response deadlines.
  • Support the drafting, editing, formatting, and processing of commercial tender documentation.
  • Develop, review, and negotiate variations to contracts, tenders, and services as required.
  • Respond to inquiries and resolve problems concerning contracts, tenders, projects, services provided, and persons affected.
  • Manage paperwork associated with contracts, tenders, projects, and services provided.
  • Maintain and update project/tender records in our systems, ensuring processes are adhered to.
  • Work with internal and external stakeholders, including Project Managers, Architects, Engineering Professionals, and clients, to ensure project and tender goals are met.
  • Provide accurate measurements and quotes, mostly based off plans, working to budgeted margins as directed.
  • Advise senior management on matters requiring attention and assist with implementing their decisions.
  • Oversee work by contractors where relevant and report on variations to work orders.
  • Coordinate internal input to ensure tender submissions meet quality and compliance requirements.
  • Prepare and review submissions and reports concerning the organisation's tender and project activities.
  • Collect and analyse data associated with projects undertaken, and report on project outcomes.
  • Assist with tender coordination when required.

What you'll bring

  • Window furnishings (curtains, blinds, shutters) industry experience strongly preferred; equivalent experience in a comparable technical/trade product category (e.g. joinery, glazing, cabinetry, or other made-to-measure building products) will also be considered.
  • Project Coordination or Administration background - minimum 2 years' experience.
  • A relevant tertiary qualification (e.g. NZ Diploma in Building/Architectural Technology, or similar), or equivalent industry experience.
  • Ability to read and interpret building plans.
  • Understanding of the commercial tender process.
  • Strong administrative and organisational skills.
  • Excellent attention to detail.
  • Project coordination skills.
  • Strong negotiation and problem-solving skills, with experience resolving issues concerning contracts, projects, or services.
  • Experience liaising with a range of stakeholders, including project managers, architects, engineers, or other technical/professional parties.
  • Confidence communicating with senior management and supporting the implementation of decisions.
  • Experience preparing reports and analysing project or operational data.
  • Understanding of and adherence to health and safety requirements.
  • Excellent communication skills.
  • Strong literacy and numeracy skills.

Why join us

Harvey Furnishings is a growing New Zealand business with a strong commercial pipeline and a supportive team environment. This is a genuine opportunity to continue to build your project coordination career in a well-established, locally owned company.
