Position Overview

Seeking a detail-oriented Project Coordinator to manage project orders from quoting through delivery and invoicing. This role works closely with sales, design, project management, customers, vendors, and manufacturers to ensure orders are accurate, timely, and properly completed.

Key Responsibilities

• Process, track, and close project orders accurately.
• Prepare quotes, proposals, purchase orders, and customer invoices.
• Coordinate with vendors and manufacturers on pricing, orders, acknowledgments, and lead times.
• Review orders for accuracy and resolve discrepancies.
• Track products through delivery and coordinate delivery, installation, and service requirements.
• Maintain accurate project records and punch lists through completion.
• Manage vendor and project claims through resolution.
• Support final invoicing upon delivery and installation.
• Communicate project updates, delays, and issues to internal teams and customers.

Qualifications

• 2+ years of experience in project coordination, purchasing, order management, or a related field.
• Strong organizational and communication skills with excellent attention to detail.
• Experience with purchase orders, vendors, order entry, invoicing, and tracking.
• Proficiency in Microsoft Office, particularly Excel and Outlook.
• Experience with CET, CAP 2020, Project Matrix, or similar specification software is a plus.
• Associate's degree or equivalent combination of education and experience.
