ABOUT THE ROLE

You will be the connecting point between multiple departments: turning plans into schedules, discussions into decisions, and decisions into documented, tracked actions. This role suits someone who enjoys structure, owns outcomes, and actively uses AI to work smarter.

KEY RESPONSIBILITIES

• Multi-project Coordination & Control (~30%)
• Coordinate several projects under the direction of the Project Manager, ensuring each stays aligned on scope, schedule and priorities.
• Maintain project schedules, WBS, WIP tracker & RACI matrices; track milestones and deliverables across teams.
• Maintain the project RAID log (risks, assumptions, issues, dependencies); follow up on task owners.
• Operate the change control process: log change requests, assess impact on scope, timeline and resources, and route them for approval.
• Monitor project performance, prepare weekly status updates and next steps.
• Project Documentation (~20%)
• Prepare meeting agendas, facilitate the meeting and provide quick meeting note document.
• Draft and maintain project documents: project charters, requirement documents, SOPs, project presentation slides, research documents.
• Use AI tools and internal AI workflows to speed up documentation, summarization and reporting while maintaining accuracy.
• Cross-functional Communication (~30%)
• Act as the coordination point between Business, Digital, Creative, IT, Product (PO), Marketing and other departments involved in each project.
• Gather and clarify requirements from stakeholders; translate business needs into clear, actionable tasks for the responsible teams.
• External Partner Engagement (~20%)
• Support the Project Manager in meetings with external partners: prepare materials, capture agreements and track follow-up actions.
• Continuous Improvement
• Contribute to building and improving AI-powered workflows that make project delivery faster and more consistent across the company.

Yêu cầu công việc:

• Education: Bachelor’s Degree in Business Administration, Marketing, Healthcare/ Pharmaceuticals or Information Technology.
• Experience: 2–5 years in project coordination, project assistant, project management or equivalent roles.
• Proven experience coordinating cross-functional teams and managing multiple projects.
• Solid understanding of project management fundamentals: scope, schedule, risk, issue and change management.
• AI literacy: hands-on proficiency combining AI tools (ChatGPT, Claude, Gemini, NotebookLM), with the ability to research and build reusable AI tools, workflows, skills to automate recurring tasks.
• English: able to read and understand professional documents in English.
• Data & Value-driven mindset: makes decisions based on evidence and focuses on business outcomes.
• High ownership, strong attention to detail and a solid work ethic.
• Strong presentation, active listening and conflict management skills; able to build positive relationships with stakeholders at all levels.

Nice-to-have

• PMP or CAPM certification (PMI).
• Experience in health tech, digital platforms or a healthcare marketing agency.
