Overview

A fast-growing U.S. manufacturer of custom interior fixtures for luxury watch and jewelry stores is seeking a highly organized Remote Project Coordinator to support multiple active projects and ensure deadlines, approvals, and deliverables stay on track.

Reporting directly to the Project Manager, the coordinator will support assigned projects throughout the full lifecycle—from quotation, shop drawings, and approvals through production, shipping, installation, and closeout.

The role serves as a key point of coordination between clients, engineering and drafting teams, overseas manufacturers, suppliers, logistics partners, warehouses, and installers. The ideal candidate is proactive, detail-oriented, comfortable reviewing shop drawings, and persistent about following up until issues and action items are resolved.

Key Responsibilities

Project Coordination & Communication

  • Support assigned projects from quotation through final installation and closeout.
  • Coordinate with clients, engineering/drafting teams, overseas manufacturers, suppliers, logistics providers, warehouses, and installers.
  • Respond professionally to client emails, project requests, and routine inquiries.
  • Coordinate with internal teams to resolve client design clarifications, obtain required approvals, and communicate approved responses.
  • Independently handle routine coordination matters and escalate unresolved issues or decisions requiring management authorization, particularly those affecting scope, cost, schedule, or contractual commitments.
  • Coordinate shop drawings, revisions, approvals, samples, materials, production milestones, shipping, and installation requirements.
  • Proactively identify delays, missing information, or project risks and escalate them to the Project Manager when appropriate.

Project Tracking & Follow-Up

  • Maintain company project trackers, including Monday.com and Google Sheets, ensuring information is accurate and current.
  • Keep project records updated with owners, priorities, due dates, status, blockers, notes, action items, and supporting links.
  • Follow up persistently with responsible parties on outstanding approvals, materials, deliverables, shipments, and deadlines.
  • Track projects across all stages and maintain clear visibility into outstanding items and next steps.
  • Provide the Project Manager with regular updates on project progress, risks, blockers, and priorities.

Meetings & Documentation

  • Prepare clear meeting notes and document key discussions, decisions, approvals, and commitments.
  • Assign and track action items, including responsible owners and deadlines.
  • Follow up with the appropriate parties until action items are completed.
  • Maintain organized project documentation and historical records.
  • Help create and improve templates, checklists, trackers, and repeatable workflows.

Required Qualifications

  • 3+ years of experience in project coordination, production support, manufacturing, construction, or a related environment.
  • Excellent written and spoken English, including professional communication with U.S. clients.
  • Strong organizational skills with the ability to manage multiple projects, deadlines, and stakeholders across time zones.
  • Working ability to read and understand technical/shop drawings. The coordinator does not need to be a designer or drafter but must be able to understand drawings and identify missing, incomplete, or conflicting information.
  • Familiarity with Monday.com, Bluebeam Revu, Procore, AutoCAD viewing tools, or similar project management and drawing-review platforms.
  • Strong Google Sheets, Docs, and Drive skills.
  • Highly detail-oriented, self-directed, and accountable, with strong judgment and follow-through.
  • Ability to independently manage routine matters while recognizing when an issue requires management escalation.

Strongly Preferred

  • Experience in furniture, fixtures, millwork, cabinetry, custom manufacturing, construction, or similar project-based environments.
  • Experience coordinating overseas manufacturing, logistics, warehousing, and installation.
  • Experience working with international factories, suppliers, freight/logistics providers, warehouses, and installation teams.
  • Familiarity with sample/material procurement and design-to-manufacturing workflows.
  • Experience tracking production schedules, shipments, delivery requirements, and installation readiness.
  • Experience working across multiple countries and time zones.
  • Spanish fluency is a plus, though not required.

Ideal Candidate

  • The ideal candidate is an organized and proactive coordinator who takes ownership of assigned projects, maintains accurate project visibility, and follows up until tasks are completed. They can independently resolve routine coordination matters while knowing when to involve the Project Manager, particularly when decisions affect scope, cost, schedule, or contractual commitments.

What We Offer:

  • Competitive compensation — $8 to $9 per hour, paid in USD
  • Fixed U.S. working schedule
  • Fully remote role — work from anywhere
  • Direct collaboration with U.S. small businesses and entrepreneurs
  • Paid time off — 10 PTO days per year, plus 6 U.S. holidays off
