Project Coordinator - Hybrid

About the role:

The Project Coordinator – Make Safe Delivery is responsible for coordinating and delivering critical Make Safe works from job allocation through to invoicing and closure. The role manages daily WIP, contractor coordination, and mandatory client/insured contact required to ensure Make Safe works are completed safely, within DAL and JCM requirements, and to a high standard of customer service – while progressing eligible jobs toward non-critical scoped works handover.

The PC acts as the primary coordination point between BBS, MS contractors, insurers (IC), and insureds throughout the Make Safe delivery lifecycle, driving proactive, commercially viable outcomes on every job.

Job Responsibilities

1.Finance - Manage Contract Value, LFCD and JCM in line with client-specific margin requirements

Action and invoice on-hire jobs monthly, invoiced to the client one month in advance

Complete Low JCM documentation and escalate via the shared Low JCM spreadsheet where required

Ensure all jobs are invoiced and 100% paid, with all POs closed, prior to closure

Drive invoicing compliance to support commercially viable outcomes

2. Customer - Confirm MS contractor attendance and Make Safe completion with insureds by mandatory phone contact

Advise insureds of next steps in the claims process (BBG scope)

Advise the Insurer (IC) of any critical works exceeding DAL, and obtain written approval before proceeding

Deliver proactive, friendly customer service across all contact points – phone first, not just email

3. People - Coordinate MS contractors/suppliers to confirm on-site attendance, works and estimated costs

Escalate additional critical works and DAL exceptions to the Team Lead/IC as required

Contribute to a proactive, accountable and friendly team culture

Direct queries and escalations through the appropriate reporting line

4. Timeliness - Update BBG Connect (Contract Value, LFCD, Next Action Date) at every job touchpoint

Update WIP notes at every job touchpoint; NAD updated at least every 5 business days

Update client portal/email at least every 5 business days

Drive daily job completion/close-out; deliver the monthly target of turning 80% of all active Make Safes registered each month

Prepare and submit MS reports/invoices via BBG Connect, Client Portal and Client email

5. Safety - Ensure Make Safe works are triaged in adequate, detailed fashion to set the job up for success

Follow the DAL escalation process for additional/critical works identified on site

Off-hire equipment with contractors/suppliers as soon as no longer required on site

Comply with WHS legislation, Company SOPs and client requirements

Requirements:

●        Experience in a Project Coordinator, claims, or restoration/insurance industry coordination role

●        Working knowledge of the BBG job management system (or demonstrated ability to learn quickly)

●        Knowledge of Make Safe processes and the insurance claims lifecycle highly regarded

●        Understanding of JCM/margin principles and commercially viable outcomes
