Overview

We are seeking a proactive and highly organized Project Coordinator (Reconstruction) to support residential reconstruction projects from approval through production. This role focuses on keeping projects moving, coordinating homeowner selections, supporting scheduling and production handoffs, maintaining accurate project files, and communicating with homeowners and other stakeholders.

The ideal candidate has hands-on experience in U.S.-based restoration, reconstruction, construction, or project coordination, understands basic residential construction sequencing, and is comfortable managing multiple active files. Strong communication skills, attention to detail, persistence, and the ability to work independently are essential for success in this role.

Key Responsibilities

• Review approved estimates and identify required homeowner selections.
• Communicate with homeowners regarding selections, deadlines, and outstanding decisions.
• Follow up consistently to prevent delays and keep projects moving forward.
• Identify selections or requests that may exceed the approved project scope and escalate appropriately.
• Build and maintain reconstruction schedules based on project requirements and field updates.
• Coordinate production handoffs and communicate updates with relevant project stakeholders.
• Monitor project statuses, deadlines, pending tasks, and required follow-ups across multiple active files.
• Maintain accurate project notes, documentation, customer information, claim details, and file updates.
• Verify names, addresses, claim information, and other key project details for accuracy.
• Work across project tracking, restoration, documentation, and insurance-related platforms such as DASH, Encircle, Alacrity, XactAnalysis, Cotality, and CORE.

Homeowner & Project Coordination

• Communicate professionally with homeowners throughout the reconstruction process.
• Help homeowners understand required selections and keep decisions moving within project timelines.
• Coordinate updates between homeowners, contractors, field teams, carriers, and program representatives.
• Handle delays, missing information, and changing project requirements proactively.
• Maintain consistent follow-through on open items until they are resolved.

Construction & File Management

• Understand basic residential reconstruction sequencing and how different trades and phases affect scheduling.
• Review approved scopes and estimates to identify relevant project requirements and homeowner selections.
• Track multiple reconstruction files while maintaining accurate and up-to-date documentation.
• Recognize potential scope issues, missing information, and scheduling conflicts before they create delays.
• Adapt quickly to new systems, workflows, and technology used to manage reconstruction projects.

Preferred Skills & Qualifications

• 3+ years of experience supporting a U.S.-based restoration, reconstruction, construction, or project coordination environment.
• Working knowledge of residential construction sequencing.
• Experience coordinating multiple active projects, files, or customer accounts.
• Strong verbal and written English communication skills.
• Confident communicating with homeowners and other project stakeholders by phone and email.
• Highly organized and detail-oriented with strong follow-up skills.
• Able to work independently in a fast-paced environment with minimal supervision.
• Comfortable reviewing project scopes, estimates, selections, and documentation.
• Experience with restoration, construction, project management, or insurance-related software.
• Strong sense of ownership, accountability, and urgency in moving projects forward.

Nice-to-Have (Bonus Skills)

• Experience in real estate lead generation or working with property owners.
• Background in recruiting, SDR (Sales Development Representative), or business development roles.
• Prior experience working with churches, faith-based organizations, or community outreach initiatives.
