PROJECT COORDINATOR – WEDDING DECORATION

Location: Bali, Indonesia

We are looking for a highly organized, detail-oriented, and passionate Project Coordinator to join our Wedding Decoration team.

The Project Coordinator will be responsible for coordinating wedding decoration projects from the planning stage through to event execution, ensuring every detail is delivered according to the client's concept, timeline, budget, and quality standards.

KEY RESPONSIBILITIES

• Coordinate wedding decoration projects from preparation, setup, event day, until dismantling.
• Communicate and coordinate with clients, wedding planners, venues, vendors, production teams, and decoration crew.
• Translate wedding concepts and design requirements into clear execution plans for the production and onsite teams.
• Prepare project timelines, checklists, schedules, and production requirements.
• Coordinate manpower, materials, transportation, equipment, and installation schedules.
• Conduct venue/site inspections and ensure all technical and decoration requirements are properly prepared.
• Monitor the installation and dismantling process on event day.
• Ensure all decoration elements are delivered and installed according to approved designs and agreed standards.
• Handle onsite coordination and solve operational issues quickly and professionally.
• Monitor project progress and ensure deadlines are met.
• Coordinate with the warehouse, production, florist, lighting, and other decoration teams when required.
• Prepare project reports, documentation, and post-event evaluation.
• Maintain good relationships with clients, wedding planners, venues, and business partners.

REQUIREMENTS

• Minimum 2 years of experience in wedding decoration, event production, wedding planning, or a related field.
• Strong project coordination and organizational skills.
• Excellent communication and interpersonal skills.
• Able to work under pressure and manage multiple projects simultaneously.
• Strong attention to detail and a good sense of aesthetics.
• Able to work independently as well as as part of a team.
• Problem-solving mindset with the ability to make quick decisions during events.
• Willing to work flexible hours, weekends, and public holidays when required.
• Good command of English*, both written and spoken.
• Experience working with luxury weddings, destination weddings, hotels, or international clients* is highly preferred.
• Knowledge of Bali's wedding venues and event vendors is an advantage.
• Able to use basic Microsoft Office / Google Workspace. Knowledge of project management or design-related tools is a plus.
