Project Document Controller

About the role

The Project Document Controller ensures that all project teams work strictly with the latest approved versions of documents, blueprints, and reports. This role prevents project delays, compliance failures, and miscommunications between engineers, contractors, clients, and management.

Key responsibilities

• Receive, register, and log all incoming and outgoing project documents (drawings, RFIs, submittals, and transmittals) into the master register
• Ensure proper revision numbering, track updates, and make sure obsolete documents are archived or restricted
• Apply uniform naming conventions, folder structures, and metadata indexing across digital and physical files
• Share approved documents with relevant departments and stakeholders on time, tracking review and sign-off cycles
• Verify that documents meet client requirements, ISO standards, and company quality management systems (QMS)
• Manage access permissions, maintain data security, run regular backups, and oversee long-term document retention or safe disposal

About you

• Bachelor's degree in Administration, Engineering, or a related field
• 1 to 3+ years of document control or project administration experience, preferably in F&B Project
• Proficiency in Electronic Document Management Systems
• Strong command of Microsoft Office Suite (Excel, Word, PDF editors)
• High attention to detail, strong time-management, organization, and clear written/verbal communication
