About Withers Worldwide

Founded in 1909, Withers Worldwide is a family-owned logistics company specializing in freight management, warehousing, transportation, and installation services. We coordinate complex logistics projects throughout the United States and internationally.

We are seeking an experienced, highly organized, and detail-oriented Project Logistics Coordinator to join our Orlando team.

This position will work directly with one of our senior sales professionals, providing a combination of administrative support and hands-on logistics coordination across multiple ongoing projects.

The ideal candidate has prior logistics experience, thrives in a fast-paced environment, and is proactive, dependable, and capable of managing multiple responsibilities while maintaining exceptional attention to detail.

This is an excellent opportunity for someone who enjoys coordinating logistics operations, staying organized, solving problems, and supporting a busy, established sales professional.

Key Responsibilities

Project Coordination & Administrative Support

  • Provide daily administrative and operational support to a senior sales professional.
  • Assist in coordinating logistics projects from initial planning through final delivery and installation.
  • Review project documentation, purchase orders, service requirements, and shipping instructions for accuracy.
  • Maintain accurate project files, schedules, and status updates in our internal logistics management system.
  • Prepare service orders, coordinate vendor payables, and assist with customer invoicing.
  • Track project deadlines, follow up on outstanding tasks, and ensure timely completion of assignments.
  • Identify potential issues and communicate updates to the appropriate team members.

Freight, Warehousing & Installation Coordination

  • Coordinate domestic and international freight shipments with carriers and transportation providers.
  • Track shipments and provide timely updates to customers and internal teams.
  • Communicate with warehouses regarding inbound shipments, inventory reporting, and outbound orders.
  • Prepare warehouse pick requests and coordinate delivery and installation schedules.
  • Work with internal operations teams, warehouse personnel, and third-party logistics providers to ensure projects run smoothly.
  • Assist in resolving shipment delays, scheduling conflicts, and other operational challenges.

Customer Service & Communication

  • Independently handle routine customer and vendor communications, including shipment updates, scheduling, and project-related inquiries.
  • Maintain professional relationships with customers, vendors, and internal departments.
  • Respond promptly and professionally to emails, phone calls, and requests for information.
  • Follow up on outstanding items to ensure timely resolution.
  • Escalate significant customer concerns, operational issues, or decisions requiring management involvement to the senior sales professional.
  • Help maintain a consistently high level of customer service throughout every project.

Qualifications

Required:

  • Previous professional experience in logistics, freight forwarding, transportation coordination, warehousing, or a closely related field.
  • Strong organizational skills and the ability to manage multiple projects and competing priorities.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Outlook, Excel, and Word.
  • Exceptional attention to detail and commitment to accuracy.
  • Ability to take initiative, work independently, and follow established procedures.
  • Strong problem-solving skills and a proactive approach to daily responsibilities.
  • Dependable, professional, and comfortable working in a fast-paced environment.
  • Availability to complete 2–4 weeks of initial training in Miami.

Preferred:

  • 2+ years of logistics or project coordination experience.
  • Experience coordinating freight shipments, warehouse operations, or delivery and installation services.
  • Familiarity with logistics management systems, service orders, vendor invoicing, and customer billing.
  • Bilingual proficiency in English and Spanish.

Initial Training & Work Schedule

The selected candidate will complete approximately 2–4 weeks of paid, hands-on training at our Miami headquarters before transitioning to our Orlando office.

During this period:

  • The employee will receive their regular salary.
  • The company will cover necessary hotel accommodations and travel expenses.
  • Training will include our internal logistics management system, company procedures, freight coordination, warehouse operations, project administration, and customer service expectations.

Following training, the employee will work Monday through Friday at our Orlando office, reporting directly to a senior sales professional.

While this is initially an in-office position, opportunities for a hybrid work arrangement may become available once the employee is fully trained, established in the role, and consistently meeting performance expectations. Remote flexibility is not guaranteed and will be determined by management based on business needs and individual performance.

This is a salaried, non-exempt position eligible for overtime compensation in accordance with applicable wage and hour laws. Overtime must be approved in advance by management.

Compensation & Benefits

  • Annual Base Salary: $55,000–$65,000, commensurate with experience and qualifications.
  • 90-Day Performance Review: An initial performance and compensation review will be conducted after approximately 90 days of employment. Any salary adjustment will be based on individual performance and management approval and is not guaranteed.
  • Health Insurance
  • 401(k) Retirement Plan
  • Paid Time Off (PTO)
  • Paid Holidays
  • Paid Initial Training: 2–4 weeks in Miami, with company-paid travel and hotel accommodations.
  • Professional Growth: Opportunities to expand responsibilities and develop within an established logistics organization.
