What they need
PROJECT MANAGER
Kimmich | Smith Architecture
Kimmich | Smith Architecture, LLC (KSA) is a growing Tampa-based boutique architecture firm serving development sectors that include prominent multifamily, condominium, hospitality, commercial, office, and mixed-use projects. We support clients through every phase of design and construction to help them discover and realize the creative potential of their properties through identity-driven design, strong technical documentation, and responsive white-glove service.
THE ROLE
The Project Manager is key team member who charts and maintains the project’s course of direction. This role is accountable for aligning scope, budget, schedule, people, consultants, milestones, and communication to ensure the project reaches its precise destination. The Project Manager creates clarity, anticipates risks, documents decisions, foresees turbulence, and articulates effectively when corrective action is needed by any party.
Working closely with the Project Architect, Job Captains, technical leadership, consultants, clients, and Principal Architect, the Project Manager owns the management outcome of the delivered project. The PM is not expected to personally produce or solve every technical item, but they must have enough architectural and technical understanding and experience to recognize incongruencies, ask accurate questions, coordinate resolutions with appropriate decision-makers, and confirm required reviews occur.
KEY RESULT AREA #1 | DELIVER THE PROPER PRODUCT
Winning looks like: Deliverables precisely fulfill Client, Code and Constructability requirements.
- Translate the agreement, client program, design direction, jurisdictional requirements, and project decisions into clear team priorities and deliverables.
- Maintain oversight of drawing-set organization, completeness, coordination, efficient constructability, code and life-safety requirements, and documentation readiness for permit and construction.
- Coordinate with the Project Architect, Job Captains, and technical leadership so technical questions, quality reviews, and design decisions are prioritized and addressed at the appropriate time.
- Use strong working knowledge of architectural details, building systems, consultant disciplines, Revit modeling, BIM management and project technology to identify conflicts and guide coordination.
- Confirm that client expectations and documented decisions remain aligned with ongoing deliverables.
- Final deliverables satisfy the client's desires and program, as well as all relevant code and constructability requirements, with minimal errors, omissions and RFI’s.
KEY RESULT AREA #2 | PRESERVE THE PROJECT TIMELINE
Winning looks like: Project schedules remain on track with minimal diversions.
- Develop and maintain a realistic project schedule with clear milestones, tasks, review periods, consultant deliverables, decision dates, and permitting activities.
- Plan staffing, assign responsibilities, manage hours, and confirm that the team understands priorities and next actions to meet specific established deadlines.
- Lead consistent project meetings and communicate progress, decisions, risks, and changes clearly to the internal team, consultants, client, and Principal Architect.
- Manage consultant scope, deliverables, coordination, response times, and deadlines to support an accurate and complete set.
- Identify critical path threats early, highlight risks with the team and client, develop recovery options, and elevate resource or decision needs before a milestone is compromised to minimize extent and duration of course corrections.
KEY RESULT AREA #3 | PROTECT THE PROJECT RESOURCE
Winning looks like: Project budgets remain on track with maximum efficiency.
- Convert the project fee and scope into phase budgets, staffing plans, and hourly allocations that the project team can readily understand and manage.
- Review output performance versus budgeted hours and planned schedule; forecast remaining effort and final project position in addition to reporting what has already occurred.
- Maintain consistent check-ins with the Project Architect and Principal Architect regarding schedule, budget, workload, risks, potential conflicts and corrective actions required.
- Confirm billable progress and regularly provide accurate, timely information needed for invoicing and financial forecasting to maintain winning projects.
- Recognize scope creep early, document scope changes, assess schedule and fee consequences, and communicate with the Principal Architect and client before uncompensated work advances so potential additional services may be procured.
SUCCESSFUL CANDIDATE
- Creates orderly workflow and forward momentum across multiple projects without losing sight of client needs, project priorities or technical quality.
- Communicates directly, professionally, and in anticipation of prerequisites or challenges that arise, especially when the news may be difficult or an architectural commitment may be at risk.
- Balances service, quality, schedule, and profitability when making recommendations.
- Delegates with clarity, follows up consistently, respectfully holds others accountable, and escalates issues judiciously.
- Demonstrates ownership, sound judgment, integrity, responsiveness, and a collaborative, low-ego, team-focused leadership style.
- Willing to draw, draft and develop the work product when needed.
DESIRED EXPERIENCE AND SKILLS
- Professional degree in architecture or comparable architectural training and experience.
- Approximately 7 or more years of progressively responsible architectural experience, including demonstrated project-management responsibility; capability is more important than years alone.
- Experience managing architectural projects from initial concept through permit, construction documents, and construction-phase coordination.
- Strong experience with project schedules, project staffing, team productivity management, consultant coordination, client communication, and scope-change management.
- Working proficiency in Revit and related project management technology sufficient to review progress, understand documentation, and guide coordination. Familiarity with Bluebeam, AutoCAD, Adobe Cloud and Microsoft Office is expected. Experience with A.I. or Lumion is a plus.
- Florida project, permitting, and code experience is preferred; architectural licensure and sustainable accreditation is valued but not required.
