Project Manager

Four people touch every email. You are the reason none of them are waiting.

Mail Waves runs Klaviyo for subscription ecommerce brands and nothing else. Clients stay for years and the agency has grown entirely on word of mouth. A copywriter writes, a designer builds, a specialist loads and triggers, and a client success manager owns the account. You hold the calendar all four of them work to, and you are the last pair of eyes before anything reaches a client.

Asked what gets in their way most, this team did not say clients, or tooling, or workload. They said the handoffs. That is what this seat is for.

What you own:

• The delivery calendar across the whole client book, in ClickUp

• Briefing and sequencing copywriters, designers and Klaviyo specialists

• Quality assurance on everything before it reaches a client

• The day-to-day operational conversation with clients

• Capacity: spotting the conflict a week out, not reporting the miss afterwards

What you do not own: account strategy, the revenue number, the client relationship. Those sit with the client success manager. You brief, sequence, check and chase.

The four gates:

• Two or more years running delivery inside an agency, several accounts at once

• You have been responsible for a project tool, not a user inside one. ClickUp ideally

• A reliable daily overlap with US Eastern hours, from wherever you live

• Email, retention or ecommerce marketing context, so the metrics are familiar ground

The shape:

• $4,000 to $6,000 USD per month, fixed, no variable

• Full-time contractor, fully remote

• One fixed team call a week, and you structure the rest yourself
