Job Summary
Client is seeking an experienced Project Manager to plan, execute, monitor, and close Data & Technology initiatives across multiple concurrent projects, spanning data engineering, business intelligence/analytics, and application or UI/UX development. The role coordinates scope, schedule, budget, vendors, and cross-functional technical resources, including people who are not direct reports, so that projects are delivered on time, within budget, and aligned with organizational goals. It also drives governance, risk management, compliance, stakeholder communication, and executive-level reporting.
Key Responsibilities
- Project Management & Business Analysis (about 30%)
- Define, deliver, and support BI/Analytics and Data & Technology development and implementation plans, keeping each project effective and efficient throughout its lifecycle.
- Develop, manage, and execute detailed project plans covering scope, schedule, budget, resources, and milestones, and ensure scope, team responsibilities, and milestone dates are met.
- Coordinate resources and manage dependencies across user departments, vendors, and partners, resolving scheduling conflicts and resource constraints before they affect delivery.
- Coordinate and, where required, directly manage data engineers, BI/Power BI developers, UI/UX or application developers, and other specialists who may sit on different teams or report to different managers: assigning work, tracking progress, and balancing workload.
- Apply business analysis to gather accurate requirements, shape the solution design, and keep traceability between business needs and what is built.
- Facilitate workshops, group problem-solving, and process-improvement work to surface requirements, resolve conflicts, and build consensus.
- Define measurable KPIs, track performance against them, and enforce corporate governance, including a Steering Committee, working groups, and clear escalation paths.
- Develop a practical roadmap for the capabilities to be implemented and lead its execution through collaboration and tangible results.
2. Risk, Governance & Compliance Management (about 20%)
- Recommend Data & Technology and BI/Analytics strategies, policies, and procedures by evaluating organizational outcomes, identifying problems, evaluating trends, and anticipating requirements.
- Maintain quality of service by establishing and enforcing organizational standards and best practices across teams and vendors.
- Maintain a RAID log for each project with weekly updates and clear mitigation plans, tracking risks to resolution.
- Analyze risk on vendor performance, data integration complexity, compliance exposure, and delivery timelines, escalating material risks to the Steering Committee or immediate supervisor with recommended mitigations.
- Work with senior management at the appropriate levels to gain approvals and manage risk in line with corporate governance.
- Ensure delivery complies with donor reporting standards and data-privacy regulations (for example GDPR, HIPAA, and local privacy rules), partnering with governance and compliance teams where specialist expertise is needed.
- Stakeholder Communication & Change Management (about 20%)
- Develop and manage a Communication Strategy & Plan for each project so that stakeholders, from working teams to senior leadership, get the right detail through the right channel at the right cadence.
- Lead scope control, quality control, and disciplined risk, issue, and change management, so changes to scope or approach are deliberate decisions rather than drift.
- Build a collaborative, respectful working environment among business stakeholders, Data & Technology teams, and strategic partners, resolving cross-team friction and keeping the group focused on shared outcomes.
- Communicate through dashboards, email, online meetings, workshops, forums, and executive presentations, keeping participants informed on benefits realization, progress, issues, and business impact, and tailoring the message to technical or executive audiences.
- Build and maintain relationships with senior leaders, regional leaders, and key partners to secure buy-in and a clear understanding of project benefits and objectives.
- Coordinate and multitask effectively across internal and external groups.
4. Reporting & Documentation (about 15%)
- Develop project charters, roadmaps, and detailed schedules that define objectives, scope, timeline, and success criteria before major delivery work begins.
- Create and maintain BRDs, functional and technical specifications, test strategies, and process documentation for implementation and quality validation.
- Run a consistent reporting cadence of weekly updates, monthly dashboards, and quarterly Steering Committee presentations, covering status, program reviews, risk mitigation, issue resolution, financial forecast, actuals, and resource plan.
- Maintain a knowledge repository (Confluence, SharePoint, or equivalent) with requirements, designs, test results, and training materials.
- Prepare executive-level summaries and briefing materials for senior leaders and donor partners.
- Conduct lessons-learned reviews, prepare project closure reports, and deliver handover packages (operational documentation, runbooks, training materials).
5. Vendor Management, Testing & Delivery Oversight (about 15%)
- Oversee vendor procurement, contracts, and SLA performance, holding vendors accountable to agreed timelines, quality standards, and deliverables.
- Develop, review, and monitor testing procedures; lead the testing strategy, User Acceptance Testing (UAT), and sign-off so solutions are validated against real business requirements before release to production.
- Manage budgets, resources, and timetables across concurrent projects, reallocating effort as priorities shift and providing variance analysis and financial tracking in regular reporting.
- Drive project closure and transition with clear ownership and operational readiness, so support teams and business owners can sustain the solution once the project team disengages.
- Perform other duties as assigned in support of the Digital team's evolving portfolio of Data & Technology initiatives.
Experience and skills
- 5+ years of proven project management experience, ideally including data platform, business intelligence/analytics, or other technology-implementation projects, with a track record of delivering multiple concurrent projects on time and within budget.
- Experience coordinating or managing multi-disciplinary technical resources (data engineers, BI developers, UI/UX or application developers), including people who are not direct reports, using influence and clear planning rather than formal authority alone.
- Strong business analysis skills, including producing BRDs, functional and technical specifications, and test strategies that translate business needs into deliverable solutions.
- Experience with project governance and risk management: maintaining RAID logs, running steering committees, and escalating and mitigating delivery risk before it materially affects a project.
- Experience managing vendor relationships, contracts, and SLAs, holding external partners accountable to agreed scope, quality, and timelines.
- Excellent stakeholder communication skills, with the ability to work with both technical teams and senior or executive leadership, tailoring content and format to the audience.
- Solid understanding of testing and UAT processes, and the ability to lead sign-off so delivered solutions meet business requirements.
- Working knowledge of data-privacy and compliance considerations for organizational and donor data (for example GDPR, HIPAA, or equivalent local regulations), enough to know when specialist compliance input is needed.
- Strong organizational and multitasking skills, managing competing priorities and shifting resource allocation across several concurrent initiatives and technical disciplines.
