Project Manager – Fire Alarm Systems

Job Overview:

To lead and manage fire alarm system projects valued between RM1 million and RM7 million, ensuring they are delivered safely, on time, within budget, and in compliance with client requirements, relevant standards, and company quality expectations. The Project Manager will oversee the entire project lifecycle from award to final handover and Defects Liability Period (DLP).

Job Duties & Responsibilities:

1. Project Planning & Execution

• Take full ownership of assigned projects from contract award to final handover.
• Review contracts, specifications, drawings, BOQ, and project requirements.
• Develop project execution plans, schedules, and resource planning.
• Monitor project milestones and ensure timely completion.
• Coordinate all engineering, procurement, installation, testing, and commissioning activities.

2. Financial Management

• Manage projects ranging from RM1 million to RM7 million.
• Prepare and monitor project budgets.
• Control project costs and maximize project profitability.
• Monitor material usage and labour costs.
• Review subcontractor claims and supplier invoices.
• Manage project cash flow together with Finance.

3. Team Leadership

• Lead Project Engineers, Site Engineers, Supervisors, and Technicians.
• Allocate manpower effectively.
• Conduct weekly project meetings.
• Monitor staff productivity and performance.
• Coach and develop junior engineers.

4. Client Management

• Act as the primary point of contact for clients, consultants, main contractors, and authorities.
• Attend project coordination meetings.
• Manage client expectations professionally.
• Resolve technical and commercial issues promptly.
• Maintain strong long-term customer relationships.

6. Contract Administration

• Monitor project scope.
• Identify variation orders (VO).
• Prepare Extension of Time (EOT) submissions.
• Review contractual obligations.
• Manage project documentation.
• Ensure proper approvals before additional works.

7. Procurement & Material Control

• Plan material requirements.
• Monitor procurement schedule.
• Coordinate deliveries.
• Avoid material shortages.
• Approve material requests.

8. Quality Assurance

• Ensure works comply with Company SOP, Project Specifications, Drawings, Malaysian Standards, Relevant Fire Codes
• Conduct internal quality inspections.
• Ensure proper documentation.
• Manage defect rectification.

9. Safety Management

• Ensure full compliance with site safety requirements.
• Conduct toolbox meetings.
• Ensure all permits are obtained.
• Monitor PPE compliance.
• Investigate incidents and implement corrective actions.

10. Testing & Commissioning

• Lead and supervise

11. Documentation

• Ensure timely preparation of:

-          O&M Manuals

-          As-Built Drawings

-          Handover Documents
12. Risk Management

• Identify project risks early.
• Develop mitigation plans.
• Resolve technical and commercial issues proactively.
• Escalate major risks to Management.

Key Performance Indicators (KPIs)

* Project completion on schedule.

* Gross profit maintained or improved.

* Zero major safety incidents.

* Successful Bomba approval on first inspection, where reasonably achievable.

* Client satisfaction.

* Variation orders identified and successfully claimed.

* Minimal defects during DLP.

* Accurate project forecasting.

* Timely project documentation.

* Effective manpower utilization.

Qualifications:

• Must possess Bachelor’s Degree in Electrical/ Electronics/ Mechatronics or equivalent. Professional certifications are an advantage.
• Minimum 8 years in fire alarm system projects. At least 5 years in a Project Manager role.
• Proven experience managing projects valued between RM1 million and RM7 million.
• Experience with high-rise commercial buildings, hospitals, data centers, industrial facilities, or mixed developments.
• Experience dealing with consultants, developers, main contractors, and authorities.
• Good understanding of:

• Excellent software skills in Microsoft Project, Microsoft Excel, AutoCAD, Microsoft Office, ERP/Project Management software (added advantage).
• Preferred Certifications:

-          Board of Engineers Malaysia Graduate Engineer or Professional Engineer registration (preferred)

-          CIDB Malaysia Green Card

-          Occupational safety training (e.g., Site Safety Supervisor or equivalent)

-          First Aid certification (advantage)
