What they need

Project Officer

Help deliver organised, compliant, and well-documented project support on a major new Victorian rare earth and mineral sands project.

The Donald Rare Earth and Mineral Sands Project is a tier-1 rare earth and mineral sands resource located within the Wimmera district of western Victoria, near the towns of Minyip and Donald and 70 kilometres from the large regional city of Horsham. The operator of the Donald Project is Donald Project Pty Ltd, trading as Donald Mineral Sands (DMS), a joint venture between Astron Limited and Energy Fuels Inc. ASX-listed Astron has more than 30 years’ experience in mineral sands processing, technology, and downstream product development.

Astron is seeking a Project Officer to join the Donald Project. This is a hands-on, site-based role where the initial focus will be supporting the project through construction, transitioning to ongoing operations as the project matures. You will provide high-level project administration to support delivery of the project schedule, including document management, quality and compliance processes, and systems user support.

Reporting to the Project Director and working closely with the Construction Manager, you will play an important role in keeping the project team productive, partnering with the Project Management Office (PMO) and corporate functions. Your work will support technical documentation, finance and procurement administration, meeting and site visit coordination, and the secure management of project files.

In this role, you will

  • Partner with site leaders to identify and address health and safety hazards, and model Astron’s values in all activities
  • Maintain a detailed understanding of project deliverables, and communicate and monitor milestones for drafting, review, and finalisation
  • Work with team members to ensure documents are reviewed, finalised to standard, and delivered on time
  • Maintain the project action list as directed by the Construction Manager
  • Coordinate meetings, including agendas and minutes
  • Lead document management, including document numbering, version control, and the secure storage of project files
  • Manage internal and external access to files, including sensitive data rooms, in line with authorised permissions
  • Provide SharePoint support, training, and troubleshooting, and educate users on document management protocols
  • Manage tendering portal access and performance, working with peers
  • Coordinate project site visits, including keeping the site visitor register current and recording site inductions in the training compliance system
  • Provide administrative support to the Construction Manager, including procurement and accounts payable tasks
  • Assist team members with document editing, collation, presentations, reports, and spreadsheets that meet Astron’s style and branding requirements

About you

Required experience

  • Experience working within a PMO or similar project delivery environment
  • Demonstrated experience supporting a Project Director or Project Manager on major heavy-industry projects, ideally in the construction, infrastructure, or resources sectors
  • Proven experience in document management, including secure storage, version control, and training users in document management protocols
  • Strong understanding of project management principles and practices
  • High proficiency in Microsoft SharePoint, Microsoft Excel, and Adobe applications
  • Well-developed quantitative and qualitative analytical skills
  • Excellent communication and interpersonal skills, with the ability to engage effectively at all levels
  • Demonstrated initiative, adaptability to changing priorities, and the ability to meet tight deadlines

Highly regarded

  • A diploma or tertiary qualification in commerce, business, or project management

The details

This is a full-time role based at the Donald Project site approximately 14 kilometres east of Minyip, Victoria, working Monday to Friday. The position will suit a highly organised person who enjoys a mix of document control, systems support, coordination, and practical problem solving.
