What they need
Project Superintendent
Field leadership position responsible for delivering Helot's commercial projects safely, on schedule and to standard
Position Summary
The Project Superintendent runs the jobsite from mobilization to closeout. The role owns the field schedule, directs subcontractors and Helot's own crews, holds the work to company quality standards and project specifications, and keeps the site safe and organized every day. It is the person the Project Manager, the owner and the subcontractors look to for what is happening on site, what is next and what is in the way.
This is a full-time field position on assigned projects, with office time for planning, documentation and meetings. The Superintendent may run one larger job or several smaller jobs at once, and is expected to plan ahead so the field is never waiting on information, material or manpower.
Reporting Structure
The Project Superintendent reports to the General Superintendent and works day to day with the Project Manager assigned to each job on schedule, scope, changes and owner communication. Assistant Superintendents, Foremen and field crew assigned to the Superintendent's projects take their direction from the Superintendent on site. Subcontractor foremen coordinate their work through the Superintendent.
Responsibilities
- Run the assigned projects on site from start to finish, planning the work so each phase starts on time and the project meets the owner-approved baseline schedule.
- Build and publish a three-week look-ahead schedule each week, coordinate it with the Project Manager and subcontractors, and update the project schedule as conditions change.
- Direct and coordinate subcontractors, suppliers and Helot's own crews so trades are sequenced correctly, manpower matches the plan and no trade is waiting on another.
- Hold all work to company quality standards, project drawings and specifications, inspecting work in place and correcting deficiencies before they are covered or turned over.
- Own site safety: enforce the company Injury and Illness Prevention Program and Cal/OSHA requirements, complete pre-task plans for each week's scope and redo them when the task or hazard changes, lead weekly toolbox talks, log near-miss and hazard reports, and stop work immediately when conditions are unsafe.
- Submit a daily report in Procore for every working day, documenting work performed, manpower by trade, deliveries, inspections, visitors, weather and any issues.
- Run the weekly owner, architect and contractor meeting and subcontractor coordination meetings, publishing the agenda in advance and issuing minutes within two business days.
- Read and mark up plans, identify conflicts and missing information early, and originate RFIs, change order pricing requests and value engineering ideas with the Project Manager.
- Schedule and pass city, special and third-party inspections, and keep permits, inspection cards and approved documents current on site.
- Track field quantities, crew hours and cost codes accurately so job cost and monthly billings reflect the work in place.
- Manage jobsite logistics, including deliveries, laydown, equipment, temporary facilities, site security and daily cleanup, and keep the site organized and presentable to the owner.
- Drive closeout from the start: maintain a running punch list, close items by their due date, and assemble inspections, as-builts and turnover items with the Project Manager.
- Supervise, train and give feedback to Assistant Superintendents, Foremen and crew, and raise performance or conduct issues to the General Superintendent.
- Communicate with the owner and their representatives professionally on site and report progress, issues and resource needs to the General Superintendent and Project Manager, responding to email and Procore daily.
- Perform other duties as assigned.
Scope of Work Directed
The Project Superintendent is expected to run the following types of work and to understand the means, methods and sequencing behind each:
- Commercial tenant improvements and renovations in occupied and unoccupied buildings
- Ground-up retail, restaurant, office and light industrial construction
- Site work, utilities, paving and exterior improvements
- Self-performed scopes including painting and coatings, waterproofing, millwork, drywall, light framing and demolition
Key Performance Metrics
Performance in this role is reviewed quarterly against the following measures. Definitions, targets and scoring are maintained in the company incentive plan.
- Schedule against baseline — substantial completion date on the monthly schedule update compared to the owner-approved baseline, from the schedule in Procore, excluding delays the owner accepts in writing.
- Look-aheads and daily reports — three-week look-ahead published each week per job and a daily report submitted for each working day, measured by publication timestamp in Procore.
- Coordination meetings — weekly owner and subcontractor meetings held per job with the agenda published in advance and minutes issued within two business days, from Procore meeting records; a meeting without minutes does not count.
- Closeout items resolved on time — punch and closeout items closed by their assigned due date, measured from the Procore punch list.
- Safety leading indicators — pre-task plans completed each week and redone when the task or hazard changes, weekly toolbox talks held, and near-miss and hazard reports logged, all recorded in Procore.
- Subcontractor relationship management — documented meetings each quarter with a subcontractor contact at project manager level or above, evidenced by a receipt and a follow-up email copied to the estimating inbox.
Qualifications
- Seven or more years of commercial construction experience, including five or more years running projects as a superintendent for a general contractor.
- Proven experience delivering tenant improvement, ground-up and site work projects from mobilization through closeout.
- In-depth knowledge of construction means and methods, trade sequencing, building codes, inspection processes and Cal/OSHA requirements.
- Able to read drawings and specifications closely, build and maintain a schedule, and spot the conflicts that will stop the job before they do.
- Experience with Procore or similar construction management software, Google Workspace and scheduling tools.
- Microsoft Project experience required.
- Clear communication with owners, architects, inspectors, subcontractors and crews, and the leadership to run a jobsite without being told what to do next.
- OSHA 30 certification, or the ability to obtain it within 90 days of hire; first aid and CPR certification preferred.
- Bilingual in English and Spanish preferred.
- Valid California driver's license and the ability to travel to jobsites across the company's service area.
Compensation and Benefits
- Competitive base salary, depending on experience
- Health and dental insurance for the employee and eligible dependents
- 401(k) savings plan with company match on contributions up to 4 percent of annual base wages
- Unlimited paid time off, including holidays
- Access to the company bonus program
