Position Overview

Become an essential part of our team as a Project Support Assistant, where you'll ensure the seamless coordination of project data for our municipal contracts. In this important role, you'll support Project Managers and field personnel, ensuring the accuracy, organization, and compliance of data across various platforms, thus directly impacting project success.

Key Responsibilities

• Organize and maintain workflows in systems like Jobber and ESRI/ArcGIS.
• Coordinate data migration and document management in SharePoint.
• Reconcile project data across multiple platforms ensuring completeness and accuracy.
• Facilitate job planning and contractor mobilization with organized information.
• Track and complete various project stages from assessments to closeouts.
• Review and track vendor invoices to ensure alignment with authorized work.
• Prepare comprehensive project reports and dashboards for clients.
• Communicate data-quality issues to Project Managers efficiently.
• Implement standardized naming conventions and document-control procedures.
• Identify and suggest opportunities for system improvements and automation.
• Perform other project data-management and operational support duties as assigned.

Qualifications

• High School diploma or GED; Associate's degree or relevant experience preferred.
• At least one year of experience in data management or similar fields.
• Proficiency with Microsoft Excel, Outlook, Teams, and SharePoint.
• A keen eye for detail and ability to identify data inconsistencies.
• Strong organizational skills for managing electronic records.
• Experience with Jobber, ESRI ArcGIS, or similar software is an advantage.

Preferred Skills

• Experience in municipal, utility, or construction field contracts.
• Knowledge of vendor invoices and accounts-payable processes.
• Experience in creating Excel-based trackers and reports.
