What they need

Job Overview:

The Property & Facilities Coordinator supports the mission, vision, values, and service standards of REINS by helping maintain and improve REINS’ 15-acre property, equipment, and grounds. This part-time position provides hands-on support for day-to-day facility operations while helping establish the maintenance practices, documentation, and systems needed for effective long-term property stewardship.

The ideal candidate is proactive, organized, flexible, and comfortable working independently in a fast-paced equine environment. This position requires the ability to balance planned maintenance with unexpected facility needs and to work safely around horses, students, staff, volunteers, and visitors. Occasional evening and weekend work may be required based on REINS’ class schedule, events, seasonal needs, and facility projects.

Essential Duties and Responsibilities

Facilities & Property Operations:

  • Maintain buildings, barns, arenas, offices, outbuildings, grounds, and other property areas to a high standard of safety, appearance, and function.
  • Conduct routine inspections of buildings, grounds, equipment, and infrastructure to identify maintenance needs, safety concerns, and operational risks.
  • Perform or coordinate a wide variety of general maintenance and repair work, including plumbing, carpentry, painting, minor electrical, grounds maintenance, and facility improvements.
  • Support seasonal maintenance activities, including mowing, snow removal, landscaping, arena and pasture maintenance, trail upkeep, and other outdoor property needs.
  • Maintain and care for farm equipment, including tractors, mowers, utility vehicles, golf carts, and other equipment, as well as horse carriages and related equipment.
  • Assist with construction, facility improvement, event set-up and tear-down, and other property-related projects.
  • Help ensure the campus is clean, organized, safe, and ready to support REINS programs and activities.
  • Work with High School students and staff on vocational education projects.
  • Co-Supervise large groups of volunteers for periodic service projects.

Maintenance Systems & Documentation:

  • Maintain accurate work logs documenting completed maintenance, repairs, inspections, and outstanding needs.
  • Assist in developing and maintaining preventative maintenance schedules for buildings, equipment, vehicles, and infrastructure.
  • Help maintain accurate records and inventories of facility assets, equipment, supplies, and maintenance needs.
  • Identify recurring maintenance issues and recommend improvements that may reduce costs or prevent future problems.
  • Help establish consistent processes for tracking work orders, projects, inspections, and maintenance activities.
  • Communicate significant maintenance needs, safety concerns, and facility issues to leadership in a timely manner.

Vendor & Contractor Coordination:

  • Identify when outside vendors or contractors are needed for facility repairs, maintenance, inspections, or projects.
  • Obtain quotes and assist with scheduling and coordinating vendor services.
  • Help monitor vendor and contractor work to ensure quality, timeliness, and alignment with REINS’ needs.
  • Maintain basic records of vendors, services, repairs, and project history.
  • Proactively identify opportunities to reduce costs through preventative maintenance, competitive pricing, and efficient use of resources.

Safety & Compliance:

  • Conduct routine safety checks of buildings, grounds, equipment, and work areas.
  • Promptly communicate and address safety concerns and potential hazards.
  • Assist with required facility inspections, permits, and maintenance records.
  • Support compliance with applicable local, state, federal, industry, and PATH Intl. safety and facility requirements.
  • Promote safe work practices for staff, volunteers, students, and visitors, particularly within the equine environment.
  • Maintain awareness of emergency preparedness and facility-related risk management needs.

Collaboration & Support:

  • Work collaboratively with REINS staff and leadership to prioritize facility needs based on safety, program requirements, urgency, and available resources.
  • Assist with projects involving staff, volunteers, students, and community service groups.
  • Support vocational education projects with high school students and staff when appropriate.
  • Co-supervise volunteers during periodic facility and grounds improvement projects.
  • Provide facilities support for special events and organizational activities.
  • Serve as a reliable point of contact for day-to-day facilities and maintenance needs.

The ideal candidate will have:

  • The ability to work effectively with staff, volunteers, students, vendors, and contractors.
  • 3+ years of experience in facilities, property maintenance, farm operations, construction, grounds maintenance, or a related field; experience managing or maintaining a farm or equine facility is strongly preferred.
  • Demonstrated ability to perform hands-on maintenance and repair work across a variety of areas, including basic plumbing, carpentry, grounds, and equipment maintenance.
  • The ability to prioritize multiple needs and work independently with limited supervision.
  • A commitment to safety, stewardship, and maintaining a high-quality environment for REINS participants, horses, staff, and visitors.
  • Experience with maintenance tracking, preventative maintenance programs, project coordination, or vendor management is a plus

Requirements:

  • Clean driving record
  • Basic carpentry and mechanical repair skills
  • Ability to lift or carry up to 80 lbs.
  • Flexible schedule – some seasonal weekend or after-hours work

Pay: $18.00 - $20.00 per hour
