What they need
Overview
APS Property Group Ltd is looking for an organised, proactive Property Maintenance Manager (Student Accommodation) to oversee maintenance and property safety across our student accommodation portfolio in Lincoln.
Your main priorities will be allocating daily reactive maintenance jobs to our in-house engineers and subcontractors, ensuring scheduled fire safety and legionella checks are completed and recorded, and following through on actions identified in risk assessments.
This role combines maintenance management with regular student contact. You will need to communicate clearly about repairs and ongoing works, respond professionally to concerns, and provide a welcoming first impression for prospective students visiting our office.
Key Responsibilities
Daily maintenance coordination
- Review incoming maintenance requests each day and prioritise work according to urgency, safety and the impact on residents.
- Allocate jobs to in-house engineers and suitable subcontractors, providing clear instructions and arranging access.
- Monitor progress, follow up outstanding repairs and check that work has been completed to an acceptable standard.
- Coordinate emergency repairs and escalate urgent issues promptly.
- Obtain quotations, secure the required management approvals, raise purchase orders for works, materials and contractor services, arrange approved works, and monitor expenditure while maintaining accurate records.
Fire safety and legionella management
- Manage the planned maintenance and compliance schedule, ensuring daily, weekly, monthly, quarterly and annual checks are completed at the required intervals for each property.
- Coordinate checks and servicing covering fire alarms, emergency lighting, fire doors, fire blankets, smoke ventilation and other relevant safety systems.
- Oversee water temperature monitoring, flushing of infrequently used outlets, descaling and other measures required by the legionella control programme.
- Read and understand fire and legionella risk assessments, identify required actions and arrange appropriate remedial works.
- Track remedial actions through to completion, retaining supporting records and escalating overdue work or matters requiring management approval.
- Maintain accurate inspection logs, service records, certificates and compliance schedules.
- Liaise with risk assessors and competent specialist contractors, ensuring technical work is undertaken by suitably qualified people.
- Coordinate other property compliance requirements, including gas safety and electrical inspections.
Student communication and customer service
- Keep residents informed about planned maintenance, access requirements, disruption and progress with ongoing works.
- Provide clear, timely updates by email, WhatsApp and other agreed communication channels.
- Handle maintenance enquiries and complaints calmly and professionally.
- Assist prospective students with property enquiries, explain available accommodation and conduct viewings when required.
Property inspections and improvement works
- Carry out regular property inspections, identify defects and organise follow-up work.
- Help plan and oversee refurbishment and improvement projects.
- Work closely with the General Manager, maintenance team and contractors to keep properties safe, well maintained and ready for occupation.
- Participate in an agreed on-call rota for urgent maintenance and operational issues.
