About Portal

Portal Warehousing is a leading provider of flexible small warehousing solutions tailored to meet the needs of small businesses, entrepreneurs, and enterprise organizations. With warehouse suites ranging from 200 to 2,500 square feet, Portal offers move-in-ready spaces equipped with essential logistics infrastructure, including dock-high and grade-level door access, all-inclusive utilities, and Wi-Fi. As a vertically integrated organization, Portal handles all aspects of acquisitions, construction, marketing, leasing, finance, property management, and operations—with a mission to redefine the warehouse experience for the brands of tomorrow.

About the Role

The Property Manager is Portal's on-the-ground leader for our new Philadelphia facility—the person who fills the building, keeps it running at a high standard, and makes members feel genuinely supported. Portal Philadelphia is a new facility, so this role is centered on lease-up: driving occupancy from the ground floor, converting a steady pipeline of inquiries into signed members, and building the member relationships and operating habits that will carry the facility to stabilization and keep it there. As one of Portal's newest markets, Philadelphia is a chance to establish the Portal brand locally and build the facility's member base from its first tenant.

This is not a support role; it's an ownership role. We want someone who treats this facility like their business: relentless about filling units, attentive to the member experience, and sharp enough to spot operational issues before they become problems.

If you have a passion for commercial real estate, enjoy building real relationships with small businesses and emerging e-commerce brands, and thrive when given the autonomy to make things happen, this role is built for you.

ResponsibilitiesLeasing & Lease-Up

  • Own the facility's occupancy performance and lease-up plan, managing all leasing activity from first inquiry to signed agreement and hitting monthly occupancy and absorption targets.
  • Give tours that are tailored and persuasive—helping prospective members understand what makes Portal different and why this space is right for them.
  • Come prepared to handle objections and keep deals moving forward; close with urgency without sacrificing member fit or credit quality.
  • Build a local lead pipeline through broker outreach, walk-ins, referrals, and partnerships with Philadelphia's small-business and e-commerce communities, working alongside Portal's marketing team on launch and ongoing campaigns.
  • Keep CRM data accurate and current, ensuring no lead goes cold and every follow-up happens on time.
  • Shepherd new members through documentation, insurance requirements, and onboarding from contract to move-in.
  • Lay the foundation for retention from day one: track early member satisfaction and lease expirations so renewals become the natural next step as the facility matures.

Facility Opening & Operations

  • Partner with Portal's construction and operations teams on opening readiness—punch lists, unit readiness, signage, access control, and systems setup—so the facility is ready to tour and occupy.
  • Maintain the facility at a high standard every day—clean, safe, organized, and functioning as members expect.
  • Set up and coordinate recurring services (HVAC, landscaping, cleaning) and respond to ad-hoc needs as they arise.
  • Receive and stage packages and shipments on behalf of members, establishing and managing daily carrier coordination.
  • Conduct regular property walkthroughs and address issues before they escalate.
  • Collect rent on schedule, follow up on late payments, and manage the lease termination process when necessary.
  • Own safety protocols and keep accurate safety records for the facility.

Vendor & Property Management

  • Build the facility's local vendor bench and take end-to-end responsibility for facility projects—repairs, unit build-outs and turnovers, and improvements—from writing the scope to confirming the work is complete and done right.
  • Solicit competitive bids, select vendors carefully, and track progress against agreed timelines and quality standards.
  • Keep vendor contracts, certificates of insurance, and required paperwork current and on file.
  • Manage costs proactively, resolve billing discrepancies, and surface budget variances to the Portal team early.

Member Experience & Community

  • Be the person members can count on—responsive, genuinely interested in their businesses, and quick to resolve issues before they become complaints.
  • Build a sense of community at the facility from the start through programming, events, and consistent personal engagement.
  • Turn early members into advocates whose referrals and reviews help fill the building.
  • Represent Portal in the broader Philadelphia business community to establish the brand in a new market and attract new members.
  • Bring fresh ideas for member services and community programming to the Portal team with a clear rationale.

Reporting

  • Report weekly on leasing pipeline, tours, conversions, and occupancy against the lease-up plan.
  • Track facility income and expenses closely and deliver monthly variance reports to the Portal team.
  • Manage spending in line with budget, flag discrepancies early, and follow up with vendors on billing issues.
  • Approach the facility's financial performance with the same care you'd give your own business.
  • Partner with Portal's corporate team on annual operating budgets and longer-range capital planning.
  • Generate operational and performance reports to monitor and improve facility KPIs.

What You'll Be Measured On

  • Occupancy and absorption versus the lease-up plan
  • Tour-to-lease conversion and lead response time
  • Rent collections and AR aging
  • Facility NOI and operating expenses versus budget
  • Member satisfaction, reviews, and early retention
  • Facility condition and safety record

Our Ideal CandidateRequired

  • 3+ years of sales, leasing, or account-management experience, ideally including new-business development or a lease-up.
  • 4+ years of operations or property management experience.
  • Proficiency in Microsoft Office and comfort with CRM and property management software.
  • Strong organizational skills, attention to detail, and reliable recordkeeping.
  • Availability during business hours, with responsiveness after-hours as needed.

Preferred

  • Background in property management, multi-family, self-storage, or hospitality—especially new-property openings or lease-ups.
  • Familiarity with logistics operations and carrier management.
  • Strong ties to the local Philadelphia business community and broker network.

The Person We're Looking For

  • A self-starter who takes initiative and works independently with minimal oversight.
  • Personable, energetic, and professional—someone members genuinely want to interact with.
  • Comfortable with the pace and ambiguity of a new facility, and motivated by building something from the ground up.
  • A demonstrated track record of accountability and follow-through.
  • Solutions-oriented and skilled at balancing member service with operational standards.

Work Environment

  • Full-time, in-facility role, Monday–Friday.
  • Responsible for after-hours emergency response.
  • Ability to lift and move up to 25 lbs.
