What they need

Little Estate Agents is looking for an experienced, organised and proactive Property Manager / Maintenance Coordinator to join our busy lettings department.

You will take ownership of day-to-day property management across our established residential portfolio, with a particular focus on repairs, maintenance, contractor coordination and compliance.

Reporting directly to the Lettings Director, this hands-on role offers responsibility for your workload and portfolio. Client accounting and departmental staff management sit outside the role.

The role

As the main point of contact for routine property-management matters, you will keep landlords and tenants informed and progress maintenance issues from initial report through to completion.

Your responsibilities will include:

  • Receiving and assessing maintenance reports, prioritising emergency, urgent and routine repairs.
  • Instructing approved contractors, obtaining quotations and securing landlord authorisation.
  • Arranging access and keeping landlords, tenants and contractors updated.
  • Monitoring outstanding jobs and following up until works are completed.
  • Checking contractor invoices against authorised works before submitting them for approval.
  • Booking gas safety checks, electrical inspections and other compliance appointments.
  • Monitoring compliance deadlines and following up outstanding appointments and documentation.
  • Carrying out property inspections, reviewing reports and progressing any required works.
  • Assisting with check-outs, deposit matters and end-of-tenancy works where required.
  • Maintaining accurate records, notes and system updates.
  • Handling routine rent-arrears communication where required.
  • Escalating serious, complex or high-risk matters to the Lettings Director.

About you

You will be confident dealing with landlords, tenants and contractors, comfortable working independently and able to manage competing priorities.

We are looking for someone who:

  • Takes a proactive approach and follows issues through to resolution.
  • Remains calm and professional in difficult situations.
  • Communicates clearly by telephone and email.
  • Understands how to prioritise repairs and recognise matters requiring escalation.
  • Keeps accurate records and closely monitors deadlines.
  • Works well within a small, supportive team.

Essential requirements

  • A minimum of three years’ experience in residential property management.
  • A good working knowledge of repairs, maintenance and residential lettings compliance in England.
  • Strong administrative and IT skills.
  • A full UK driving licence and access to a vehicle for work purposes.

Desirable

  • An ARLA Propertymark qualification.
  • Experience managing a sizeable residential portfolio.
  • Experience coordinating contractors and compliance appointments.
  • Knowledge of deposit disputes, inspections and end-of-tenancy procedures.

What we offer

  • An established managed portfolio.
  • A varied role with genuine responsibility and ownership.
  • Support from an experienced Lettings Director.
  • A friendly, independent agency environment.
  • Opportunities for professional development.
  • Salary dependent on skills and experience.
