What they need
About us
Tauranga Eye Specialists is a busy, modern private facility with a specialised eye care team committed to a high standard of ophthalmic care. We hold the public Ophthalmology contract for Health New Zealand | Te Whatu Ora Hauora a Toi Bay of Plenty, running clinics and theatre sessions daily for both private and public patients, with satellite clinics in Whakatāne and Katikati and new premises in Papamoa.
The role
You will lead the team that schedules every public patient through our clinic and theatre lists — making sure people are seen within the right timeframes, and that we meet our obligations under the Health New Zealand contract.
It's a role with two halves. One is people: coaching, rostering and supporting a busy scheduling team. The other is delivery: waitlist management, KPI reporting and data integrity, where accuracy genuinely matters.
We are offering this role at between 0.8 FTE and full time. Let us know in your application what you are looking for.
What you will do
- Oversee public patient scheduling by ensuring the team books to agreed clinic and theatre schedules
- Work with clinicians and the Clinical Manager to match clinic and theatre capacity to demand
- Own our contract reporting — tracking waitlists, volumes and KPIs against what we are contracted to deliver
- Oversee accurate, timely entry in our own and Health New Zealand's patient management systems, and respond to data integrity reports
- Liaise with external health agencies
- Audit appointments monthly, with errors corrected before invoicing
- Roster, train and support your team, and handle patient complaints in the first instance
About you
- Minimum 3 years' experience leading a team — ideally in health, or another high-volume, deadline-driven service environment
- Strong reporting skills and real attention to detail; you notice when something doesn't reconcile
- Empathy, emotional intelligence, and the confidence to handle difficult conversations with patients or staff
- Comfortable working with clinicians and senior managers
- Organised, and able to keep a busy team to deadline
- Experience with patient management systems such as WebPAS, or with public health contracts, is an advantage — however we will support the right person to get up to speed
What we offer
- Genuine ownership of a key area of our business, with an experienced management team behind you
- Free on-site parking at our central Tauranga location
- Weekday hours, 0.8–1.0 FTE
- Ongoing training and development
- Employee Assistance Programme, available to all our staff
- Retail and lifestyle discounts through our employee benefits programme
Other offers great for you!
