Public Programs Manager

Planting Fields Foundation (PFF) is seeking a dynamic Public Programs Manager (PPM) to conceptualize, manage, execute, and evaluate all adult public programs. With a proven track record that demonstrates a strong commitment to visitor engagement and building mission-driven programming, the ideal candidate will be highly organized, an excellent communicator, and dedicated collaborator with experience working in a museum or public garden setting. This position will be a member of the Engagement and Learning team.

Key Responsibilities

· Oversee approximately 35 programs annually including but not limited to four major festivals, two 5K runs/walks, Creative Spirits lecture series, concert series, exhibition openings, wellness experiences, workshops, and more. There is opportunity to develop and introduce new programming in support of the strategic vision.

· Manage run of shows and logistics for programs including invitations, permitting, activities, staffing, food, parking, décor, and all coordination with vendors and partner organizations.

· Serve as primary liaison with site staff, both PFF and New York State Parks, to ensure adequate coordination of resources for each event; collaborate with Facilities team to ensure proper site setup and breakdown.

· Work in close coordination with Marketing and Communications Manager to effectively promote programs including crafting of messaging, supplying visuals, setting up post event surveys; be proactive in monitoring registration and amplifying promotion as needed.

· Effective budget management with a clear understanding of annual revenue and expense goals; meet with senior staff to provide regular updates on financial management of programs

· Work with development staff to generate resources for programs including but not limited to grant opportunities, corporate sponsorships, and ensuring proper donor recognition digitally and physically

· Commitment to inclusivity and accessibility as evidenced through program alignment, audience development, and awareness of community needs

· Remain up to date with the calendar of events in the region as well as staying on the cusp of new programming developments to ensure distinction with PFF offerings

· Support the work of Engagement and Learning team as needed

· Additional duties as assigned

Qualifications + Requirements

· 3 – 4 years of relevant experience developing programs in a museum or public garden setting

· Strong communication skills and ability to maintain a professional demeanor, at all times

· Punctual and reliable

· Ability to thrive in a small team environment, as well as working individually

· Flexible and adaptable to the ever-changing needs of Planting Fields Foundation

· Comfortable working with a diverse public in-person, on the phone, and online

· Proficient in Office 365. Experience with Blackbaud Altru CRM database is a plus

· Ability to maintain a welcoming environment for all guests

· This position requires work on weekends and nights as needed to manage programming schedule

· Ability to work outside, frequently stand/walk, lift twenty pounds, and support setting up chairs, tables etc.

· Second language ability in Spanish is appreciated.

Additional InformationThis is a full-time position based in Oyster Bay, New York. The position is to be fully performed onsite at Planting Fields. Salary range is $55,000 - $62,000.
