Our publications and products serve stamp collectors, dealers, libraries, and enthusiasts throughout the United States and around the world.

We are seeking an organized, dependable, and proactive individual to join our team as a Publishing & Operations Assistant.

This is a varied, hands-on position supporting the daily operations of our publishing business. Responsibilities include order fulfillment, customer service support, subscription circulation, email and direct-mail marketing, and general office administration.

We're looking for someone who enjoys variety, takes initiative, and can independently manage assigned tasks and projects from start to finish. This position offers the opportunity to learn different aspects of our business and take on additional responsibilities based on individual skills and interests.

  • Assist with daily operations of our publishing business.
  • Help coordinate administrative projects, maintain records, and organize materials.
  • Assist with processing incoming mail, customer correspondence, and subscription forms.
  • Support publication-related projects and other operational activities.
  • Independently manage assigned projects, maintain deadlines, and provide progress updates through completion.

Customer Service Support

  • Provide backup telephone and email coverage for our existing customer service team.
  • Assist customers with subscriptions, orders, address changes, and general inquiries.
  • Help process renewals, customer account updates, and other requests.
  • Work collaboratively with existing staff to maintain responsive customer service.

Order Fulfillment & Shipping

  • Prepare, pack, and ship customer orders accurately and efficiently.
  • Process shipping labels and orders using ShipStation.
  • Maintain shipping supplies and assist with inventory organization.
  • Handle incoming deliveries, returns, and related shipping tasks.

Circulation & Marketing

  • Assist with subscription renewal and customer reactivation campaigns.
  • Help maintain circulation databases and customer mailing lists.
  • Prepare, format, and schedule email marketing campaigns using Constant Contact.
  • Assist with subscription promotions, product announcements, and customer communications.
  • Track campaign responses and help prepare basic circulation and marketing reports.
  • Help identify opportunities to improve subscriber retention and circulation growth.

Direct Mail & Special Projects

  • Prepare direct-mail campaigns, including folding, inserting, labeling, and sorting materials.
  • Assist with coordinating larger promotional mailings.
  • Help organize customer lists and materials for marketing campaigns.
  • Coordinate assigned projects, track progress, and follow up on outstanding tasks.
  • Support special projects and other duties as assigned based on company needs and individual skills.

Qualifications

Required:

  • Excellent organizational skills and attention to detail.
  • Strong written and verbal communication skills.
  • Friendly, professional customer service approach.
  • Comfortable using computers, email, and common office software.
  • Ability to manage multiple tasks, prioritize work, and meet deadlines.
  • Willingness to learn new systems and procedures.
  • Dependable, adaptable, and comfortable working in a small business environment.
  • Ability to work independently, take initiative, and follow assigned projects through to completion.
  • Willingness to assist with both computer-based office work and hands-on tasks such as packing orders and preparing mailings.

Preferred but Not Required:

  • Previous experience in office administration, customer service, publishing, or operations.
  • Proficiency with Microsoft Excel and customer databases.
  • Experience with Constant Contact, Mailchimp, or other email marketing platforms.
  • Experience with ShipStation or similar shipping software.
  • Familiarity with magazine circulation, subscription management, or publishing operations.
  • Knowledge of stamp collecting, philately, or the collectibles industry.
  • Experience with direct-mail campaigns, marketing communications, or basic graphic design.
  • Experience coordinating multiple projects and managing deadlines with minimal supervision.

Previous experience in publishing or knowledge of stamp collecting is a plus, but not required. We are happy to train the right candidate.

  • $17–$19 per hour, depending on experience and qualifications.
  • Full-time, 40-hour workweek.
  • Monday–Friday schedule.
  • Employee benefits, including health insurance, subject to plan eligibility.
  • Opportunities to learn additional skills and take on greater responsibilities.
