Responsibilities

• Manage administrative operations for author and talent engagements, including contracts, onboarding, invoices, payments, and documentation.
• Coordinate agreements from initiation through execution with Legal, Editorial, Finance, and external representatives.
• Manage author and talent setup, invoicing, payment processing, and related financial workflows; reconcile discrepancies with Finance.
• Serve as the primary operational contact for internal teams and external partners, ensuring accurate information and timely follow-up.
• Maintain records, trackers, databases, and reports while monitoring contractual milestones, deadlines, obligations, and process improvements.

Requirements

• 4+ years of experience in publishing, entertainment, media, talent management, or a related operations or business environment.
• Strong organizational and project management skills, exceptional attention to detail, and the ability to manage multiple workflows and stakeholders.
• Experience managing contracts, invoices, payments, or administrative financial processes.
• Strong proficiency with spreadsheets, databases, Microsoft Office, Google Sheets, or similar tools.
• Excellent communication, problem-solving, discretion, and follow-through; publishing and book business knowledge is strongly preferred.
