Purchase Assistant

Role & responsibilities

STOCK AND STORE MATERIAL HANDLING

• Assist in the procurement of materials, products, and services as per company requirements.
• Prepare and process purchase orders (POs), purchase requisitions (PRs), and related documentation.
• Obtain quotations from suppliers and compare prices, quality, delivery schedules, and payment terms.
• Coordinate with suppliers to negotiate prices and ensure timely delivery of materials.
• Maintain and update supplier/vendor records, price lists, and purchase-related documents.
• Follow up with vendors regarding pending orders, delivery schedules, and shortages.
• Coordinate with stores, production, accounts, and other departments to ensure smooth procurement activities.
• Verify purchase orders, invoices, delivery challans, and received materials for accuracy.
• Monitor inventory levels and assist in identifying material requirements and reorder needs.
• Support vendor evaluation and maintain good relationships with suppliers.
• Resolve discrepancies related to quantity, quality, pricing, invoices, and deliveries in coordination with relevant departments.
• Maintain proper records of purchases, quotations, orders, and supplier communications.
• Ensure procurement activities comply with company policies and approval procedures.
• Prepare purchase reports and provide regular updates on pending and completed orders.
• Assist the Purchase Manager/Procurement Team in day-to-day purchasing and administrative activities.
