Purchase Executive

Role & responsibilities

• Handle end-to-end domestic and import purchase activities as per business requirements.
• Identify, evaluate, and develop reliable local and international suppliers/vendors.
• Coordinate with vendors for quotations, pricing, lead times, product specifications, and availability.
• Negotiate with suppliers to achieve competitive pricing, payment terms, quality, and delivery schedules.
• Prepare and process Purchase Orders (POs) and ensure timely order execution.
• Handle import purchase documentation including Proforma Invoice, Commercial Invoice, Packing List, Bill of Lading/Airway Bill, Certificate of Origin, and other relevant documents.
• Coordinate with freight forwarders, CHA/customs agents, logistics partners, and vendors for smooth import shipments.
• Track import shipments from order placement to final delivery and ensure timely clearance.
• Coordinate with internal teams such as Finance, Warehouse, Logistics, Merchandising, and Operations for purchase and delivery requirements.
• Monitor inventory requirements and coordinate procurement based on stock levels and business demand.
• Verify supplier invoices, purchase orders, quantities, pricing, and other relevant documents.
• Maintain accurate records of purchase orders, vendor details, import documents, and shipment status.
• Monitor supplier performance regarding quality, pricing, lead time, and delivery commitments.
• Resolve vendor-related issues such as delays, shortages, quality concerns, and discrepancies.
• Prepare regular purchase, vendor, order status, and import shipment reports for management.
• Ensure procurement activities comply with company policies and approved budgets.
