Purchase Executive

Key Responsibilities

• Handle domestic procurement of textiles, chemicals, raw materials and packaging materials.
• Monitor stock levels and coordinate with Production for purchase requirements based on minimum stock levels.
• Process standard and non-standard material purchase requests in SAP.
• Source new vendors, obtain samples/quotations, coordinate material testing and prepare comparative statements.
• Evaluate and pre-qualify vendors and maintain an updated vendor database through IndiaMART, TradeIndia and other sources.
• Negotiate price, quality, payment terms and delivery schedules and finalize vendors in consultation with the Head – Procurement.
• Prepare and release Purchase Orders and coordinate vendor acceptance.
• Verify Proforma Invoices and coordinate advance payments with Finance.
• Coordinate vendor dispatches, special transportation requirements and delivery schedules.
• Resolve discrepancies related to PO, invoice, quantity and material quality.
• Handle international procurement of textiles and chemicals, including requirement planning and order placement.
• Coordinate with international vendors for quotations, price negotiation, order confirmation and delivery schedules.
• Manage import documentation including PI, MBL/HBL, Invoice, Packing List and Bill of Entry.
• Coordinate with banks, Finance, freight forwarders, customs and transporters for import clearance and duty payments.
• Track shipments and ensure timely customs clearance, transportation, unloading and inwarding of materials.
• Coordinate for E-way Bill generation and provide required details to Finance/forwarders.
• Update procurement and material stock transactions in SAP.
• Coordinate AMC procurement and Purchase Orders for capital equipment.
• Ensure timely procurement while maintaining quality, cost and delivery requirements.
• Negotiate pricing without compromising the required quality of raw and packaging materials.
• Take necessary action, including PO cancellation in case of significant delivery delays/non-compliance, in consultation with the Head – Procurement.
• Education: Graduate in Engineering, Commerce, Supply Chain, Procurement or a related field.
• Experience: 1–6 years of experience in Procurement/Purchase, preferably in Chemical, Textile or Manufacturing industry.
